About the job GM Secretary

AREA OF RESPONSIBILITY / BRIEF DESCRIPTION OF ACTIVITIES

Analyze incoming memos and reports to assess their significance and facilitate distribution.

Manage incoming correspondence, including sorting and distributing faxes and emails.

Maintain and retrieve corporate documents and records.

Greet visitors and determine their access to specific individuals.

Prepare responses for routine correspondence inquiries.

Perform general office tasks such as ordering supplies, maintaining records systems, and basic bookkeeping.

Organize agendas and logistics for meetings involving committees or executives.

Arrange travel for executives.

Conduct research, compile data, and prepare presentation materials for meetings.

Compile, transcribe, and distribute meeting minutes.

Manage executives' schedules and prepare various documents using office software.

Establish and oversee administrative policies and procedures.

Supervise and train clerical staff.

Review and suggest improvements to operating practices and procedures.

Interpret administrative policies for employees.

MINIMUM EXPERIENCE

Relevant experience performing a variety of administrative support functions.

Computer skills including ability to operate MS Office and other word processing programs at a highly proficient level.

Knowledge in Oracle system is an advantage.

Experience in project coordination, correspondences, etc.
