This position will support the Managing Partner in day-to-day administration and human resources duties to ensure the smooth running of the Hong Kong office.

Key Responsibilities

  • Oversee end‑to‑end office operations, including reception services, client meeting rooms, and overall administrative workflows.
  • Support staff development by offering growth opportunities, providing timely feedback, and consistently coaching, evaluating, and recognizing performance.
  • Serve as the main liaison with building management, third‑party vendors, contractors, and external service providers; manage facilities, maintenance, office supplies, and equipment procurement.
  • Provide strategic and operational support to the partners.
  • Participate in office management committee meetings.
  • Offer staff leadership and support for business planning and analysis initiatives.
  • Assist HR with onboarding and offboarding processes, visa coordination with external vendors when needed, and local staff engagement activities.
  • Manage local budgets, track costs, and handle vendor invoicing in alignment with regional finance procedures.
  • Conduct performance evaluations and salary reviews for assigned team members.
  • Coordinate with global and regional IT teams to ensure smooth operation of office systems, conferencing tools, and equipment.
  • Organise partner and lawyer travel arrangements, client events, and internal/external meetings.
  • Ensure compliance with firm policies, confidentiality requirements, and Hong Kong health and safety regulations.

Qualifications

  • 10+ years solid office management or senior administrative experience, ideally in a law firm with supervisory experience highly preferred
  • Strong understanding of Hong Kong office operations
  • Excellent communication, organisational, and problem-solving skills.
  • Professional, discreet, open-minded, client service oriented and able to work effectively with regional and global teams.
  • Proficiency in MS Office and experience with legal or professional services systems is an advantage.
  • Fluency in English, Cantonese, Mandarin is required
