INTRODUCTION
Our client, a well-known independent Hong Kong law firm whose lawyers have international law firm backgrounds, is seeking a highly organised and detail-oriented Chief Operating Officer or Chief Finance Officer with HR and operational experience to oversee the financial, administrative, and operational functions of its office. This is a multifaceted role that combines financial management, office administration, and law firm compliance.
Candidates from professional service firms are welcome to apply. Candidates who are immediately available or available at short notice (1 month or less) would be a bonus.
The ideal candidate will be a proactive self-starter with strong financial acumen, excellent communication skills, and the ability to learn new skills and manage multiple responsibilities in a small but dynamic office environment.
DUTIES
Financial and Accounting Management
- Oversee all financial operations, including budgeting, forecasting, cash flow management, and financial reporting.
- Manage accounts payable/receivable, payroll, and vendor payments.
- Ensure compliance with the Law Society Solicitors Accounting Rules and liaise with auditors.
- Prepare monthly, quarterly, and annual financial statements.
- Monitor firm profitability and provide strategic financial insights to senior management.
Office & Operations Management
- Supervise general office administration, including facilities management, IT support coordination, and office supplies.
- Handle HR functions, including recruitment support, onboarding, staff benefits, and leave management.
- Review and negotiate supplier terms.
- Implement and improve office policies and procedures for efficiency.
Law Firm Compliance & Administration
- Liaise with the Law Society of Hong Kong regarding practising certificate renewals and regulatory compliance.
- Maintain proper records in accordance with legal and professional standards.
- Assist with client account management and compliance with anti-money laundering (AML) regulations.
YOU
- Minimum 8+ years of experience in finance, office administration, or operations, preferably within a law firm or professional services firm.
- A strong background in accounting and financial management, including budgeting, reporting, and compliance.
- Demonstrable experience of handling HR general and HR operational processes such as recruitment, onboarding and offboarding of new joiners, updating HR policies, amongst other things.
- Familiarity with Hong Kong Law Society regulations, particularly Solicitors Accounting Rules, is preferred.
- Excellent English language skills (written and spoken), whilst Cantonese proficiency is a plus.
- Proficient in accounting software (e.g., QuickBooks, Xero) and MS Office (Excel, Word, PowerPoint) are essential.
- Strong organisational, problem-solving, and interpersonal skills.
- Ability to work independently in a small team environment with a hands-on approach.
