Although small, the Hong Kong office is a key part of this firm's global strategy, and we are looking for a dynamic and hands-on Office Manager to join this office. Role Overview:
As the Office Manager, you will be the backbone of the Hong Kong office, ensuring smooth day-to-day operations and creating a productive, efficient, and welcoming environment for its staff. You will manage a lean team of back-office staff, oversee office facilities, and act as the primary point of contact for vendors, landlords, and service providers. This role requires a proactive, hands-on, resourceful, and detail-oriented professional who thrives in a fast-paced, small-office environment and is comfortable wearing multiple hats.
Key Responsibilities:
- Office Operations: Oversee the day-to-day management of the office, including facilities, catering, and office supplies, ensuring a seamless and efficient working environment.
- Facilities Management: Liaise with landlords, manage office leases, and coordinate maintenance and repairs to ensure the office is well-maintained and compliant with health and safety regulations.
- Team Leadership: Recruit, manage and mentor a team of administrative and other back-office staff, fostering a collaborative and high-performing culture.
- Induction & Onboarding: Lead the induction process for new joiners, ensuring they are well-integrated into the firm and have the resources they need to succeed.
- Vendor Management: Negotiate and manage relationships with external vendors, including IT, cleaning, and catering services, to ensure cost-effective and high-quality service delivery.
- Talent Strategy: Collaborate with senior management to shape the firms talent strategy in Hong Kong, contributing to recruitment, retention, and employee engagement initiatives.
- Process Improvement: Identify opportunities to streamline operations, reduce costs, and improve efficiency, leveraging your experience in lean and hands-on office management.
YOU:
- Experience: Minimum 5 years of office management experience, preferably within a reputable law firm or professional services environment. Experience working in a small office or start-up operation is highly desirable.
