About the Role
StaffVirtual is seeking an experienced HubSpot Analyst & CRM Operations Expert to lead our
CRM automation, data strategy, and sales enablement processes.
This role blends analytics, sales/marketing automation, and technical expertise ensuring our
global BPO sales engine runs on clean data, precise workflows, and measurable performance.
Youll manage the HubSpot ecosystem from end-to-end integrating Apollo, Sales Navigator, and
other enrichment tools; automating outbound campaigns; and delivering dashboards that turn data
into decisions.
Key Responsibilities
CRM Administration & Operations
- Manage and optimize HubSpot CRM, workflows, sequences, and pipelines for Sales and Marketing.
- Build executive-level dashboards showing real-time pipeline health, conversion rates, and revenue projections.
- Oversee data hygiene and enrichment using Apollo, Sales Navigator, and Clearbit to maintain CRM integrity.
- Manage HubSpot Service Hub, CMS, and SEO tools for seamless marketing and support functions.
- Conduct A/B testing on campaigns and workflows to optimize performance.
- Ensure data compliance (GDPR/CAN-SPAM) across all systems and integrations.
Outbound & Intent Marketing
- Prepare and implement cold outreach and intent marketing campaigns, measuring
- performance and improving conversion rates.
- Create ideal customer profiles (ICPs) and buyer personas for inbound and outbound
- targeting.
- Write and manage sales copy, landing pages, case studies, and articles that attract and
- nurture leads.
- Write and proofread email sequences and outreach templates to ensure tone, clarity, and
- conversion.
- Build and maintain databases from scratch using scraping tools and LinkedIn strategies.
Sales Enablement & SDR Support
- Support and coach SDRs on outreach best practices, cadence building, and HubSpot engagement.
- Develop outreach playbooks and automation flows to streamline prospecting.
- Partner with leadership to plan quarterly outreach strategies and performance reports.
Reporting & Analytics
- Develop custom dashboards and reports tracking KPIs such as lead conversion, sales velocity, and campaign ROI.
- Translate CRM data into insights that drive sales and marketing strategy.
- Improve CRM data accuracy and reporting reliability by 30% or more.
- Training & Cross-Team Collaboration
- Train new users across Sales, Marketing, IT, and Executive teams on HubSpot dashboards and analytics.
- Drive adoption of CRM best practices and ensure system-wide data consistency.
- Act as StaffVirtuals HubSpot subject-matter expert, aligning technical setup with business goals.
Qualifications
- 4+ years of experience in CRM management, marketing automation, or sales operations.
- Advanced HubSpot expertise workflows, dashboards, reports, and integrations.
- Strong background in outreach campaigns, email marketing, and content creation.
- Experienced with data scraping, enrichment, and ICP development.
- Proven success building lead lists and outbound strategies that convert into long-term
- clients.
- HubSpot Certifications (Admin, Marketing Hub, Sales Hub) required.
- Excellent communication, analytical, and leadership skills.
- Experience in BPO, outsourcing, or IT services preferred.
