The Inventory Data Specialist must be very proficient in the use of Excel for manipulating and associating multiple, large sets of data. They must have the ability to learn and anticipate the software functionality of both Restaurant365 and Reporting Tools. An ideal candidate has previous experience using Restaurant365 or a similar platform.

Additionally, experience with wholesale food and beverage purchasing and invoicing is
preferred. It is important for the candidate to be able to interpret and understand the database items that we maintain, such as produce, liquor, grocery, supply and other regularly purchased goods and materials. Experience working with these products directly in a restaurant environment is also a plus.

The work can be repetitive, it is highly important that the individual is able to remain focused on always thoroughly reading each report in detail, so that no issues are missed. Our customers depend on the data being 100% accurate every day.

DUTIES & RESPONSIBILITIES

  • Inventory review Troubleshooting discrepancies vs prior inventory, purchasing, and theoretical depletion.
  • Invoice entry audit.
  • Purchase item creation/audit Itemize invoices and create new items based on a specific SOP, or review newly created items.
  • Recipe implementation/review Identify any missing key items/yields using the clients recipe book.
  • Price increase/decrease review Audit shifts in pricing.
  • Ad hoc reporting.

DAILY ROUTINE

2-4 hours Invoice Item Mapping in Restaurant365 software

  • Interpret itemized food, beverage, and supplies invoices, identifying the correct items and quantities for entry into Restaurant365.
  • Look up item details on vendor websites as needed.
  • Create new items in Restaurant365 as necessary.
  • Adhere to client-specific needs for detailed item setup to ensure consistency with each clients database structure.

2-4 hours Price Variance Report Processing

  • Run daily reports using specific settings for each daily task.
  • Review reports for invoice entry errors, drastic item price changes, mis-mapped items, and inconsistencies.
  • Correct invoices and items as needed.
  • Use proper tagging and notation methods to ensure the client clearly understands the report.
  • Post daily reports for supervisor review and report any questions or issues to the operations team.

Remaining Time Various projects assigned by operations managers

  • Database cleanup.
  • Dine Report processing.
  • Spreadsheet setup and data entry.
  • Inventory template reviews and updates for clients.
  • Training and other reports or projects as needed.

QUALIFICATIONS

  • Relevant experience in purchasing, order, or inventory management.
  • Proficiency in Excel, especially with large data sets.
  • Ability to learn and utilize Restaurant365 and Dine Technology Reporting Tools.
  • Intermediate to advanced skills in MS Office applications.
  • General understanding of the quote-to-cash process.
  • Experience in the hospitality industry (e.g., restaurants) is an advantage.

  • Attention to detail.
  • Strong communication skills.
  • Ability to maintain focus on repetitive tasks and ensure high accuracy in data processing.
  • Willingness to work the night shift.
