Preferred Skills:

  • 3 to 5 years of professional experience in an administrative or related role

Key Responsibilities:

  • Calendar & Meeting Management: Schedule meetings, coordinate travel arrangements, and manage appointment calendars for department managers or supervisors. Coordinate meeting amenities when needed.
  • Customer Support: Research, resolve, and respond to inquiries or concerns from internal and external customers, escalating complex issues as necessary.
  • Data Management: Gather, analyze, and maintain potentially sensitive or confidential data. Provide timely and accurate reports for various stakeholders, and resolve discrepancies as needed.
  • System Maintenance: Update and maintain databases and systems to ensure accurate and current information. May assist with website updates using basic web-publishing tools.
  • Frontline Coordination: Serve as a point of contact for visitors and telephone calls, referring inquiries across divisions or countries when necessary.
  • Workflow Organization: Organize and maintain records for supervisors and projects, ensuring timely follow-up on pending items. Facilitate workflow to meet deadlines.
  • Documentation Support: Create, maintain, and distribute sensitive department records, letters, and memoranda as directed by supervisors.
  • Leadership & Event Planning: Represent the supervisor in meetings, exchange information with senior managers, and participate in or lead initiatives to enhance workplace experience. Plan and coordinate events, meals, and recognition activities.
  • Vendor Management: Provide indirect work direction to supporting contractors (facilities services, food services, etc.).

Notes:

  • Monday to Friday, 7:00 AM to 4:30 PM
  • Minimal, with limited travel between local units, as needed.
  • Onsite presence required starting Day 1.
  • Metatarsal safety shoes are required when on the factory floor (minimal time spent on the floor).
