Were working with an established international trading business within the agri-commodity sector who are looking to hire a Logistics Team Administrator to support their growing operations team.

This is a hands-on, detail-driven role focused on coordinating the movement of imported goods (primarily nuts and dried seeds) from overseas suppliers through to UK and European customers. It would suit someone with logistics, shipping, or supply-chain administration experience who enjoys working across multiple moving parts and ensuring everything runs smoothly behind the scenes.

The role

The Logistics Team Administrator will support the end-to-end logistics process, including international shipping, documentation, customs support, warehousing coordination, and customer deliveries. The role sits within the back-office / finance function and works closely with freight partners, warehouses, and internal sales teams.

Key responsibilities

  • Coordinating inbound shipments from overseas suppliers, primarily via containerised sea freight
  • Liaising with freight forwarders, shipping lines, hauliers, customs agents, and warehouses
  • Tracking shipments, vessel ETAs, port handling, and final deliveries
  • Monitoring potential delays, demurrage, detention, and storage costs and escalating issues early
  • Preparing, reviewing, and managing shipping documentation (invoices, packing lists, bills of lading, certificates, etc.)
  • Supporting UK and EU customs clearance processes by providing accurate shipment information
  • Maintaining accurate records for audit, traceability, and food safety compliance
  • Coordinating warehouse deliveries and reconciling received stock against shipping documents
  • Assisting with stock movements, discrepancies, damages, or quality issues
  • Supporting customer deliveries and providing accurate updates to internal teams
  • Assisting with checks on freight, haulage, and logistics invoices
  • Keeping internal systems and trackers up to date and supporting reporting on logistics performance

What theyre looking for

  • Previous experience in logistics, shipping, or supply-chain administration
  • Exposure to import operations (food, agriculture, or commodities experience is a plus)
  • Strong attention to detail and a structured, organised approach
  • Confident communicating with external partners and internal teams
  • Comfortable managing multiple shipments and deadlines at once
  • Good working knowledge of Microsoft Excel and office systems

Nice to have (but not essential):

  • Experience with food imports, nuts, seeds, grains, or similar commodities
  • Familiarity with Incoterms (FOB, CIF, DAP, etc.)
  • Experience working with freight forwarders and customs brokers
  • ERP or logistics system experience
  • Knowledge of UK customs or port health processes

The package

  • Salary: £35,000 – £40,000, depending on experience
  • Location: Office-based, North West London
