Background Information

The purpose of this request is to acquire a Jr. Project Manager to support the Clinical Repositories team, including the management of issues, risks, and service change requests to ensure the successful and on-time development of program deliverables.

The development and population of an Immunization Repository is a cornerstone within Ontarios one immunization record priority and aligns with the provinces vision for an integrated digital health ecosystem. This initiative is part of the Immunization Repository Optimization Program, a key component of the Public Health Digital Platform under Clinical Care Service delivery.

In addition to the Immunization Repository (EHR-IR), the successful candidate may also support related provincial digital health assets, including the Digital Health Drug Repository (DHDR) and the Ontario Laboratories Information System (OLIS). DHDR enables authorized clinicians to access a patients dispensed drug information to support safer medication management, while OLIS provides access to laboratory test results from hospitals, community labs, and public health laboratories. Together, these repositories form critical components of Ontarios provincial digital health infrastructure, supporting continuity of care, clinical decision-making, and system interoperability.

Responsibilities:

The Jr. Project Manager will support the Clinical Repositories team, including management of issues, risks and service change requests to ensure successful and on-time development of the project.

Project Support and Coordination

· Assist the project team in planning, organizing, and executing project activities.

· Maintain project schedules, track milestones, and ensure deliverables are on time and within scope.

· Coordinate meetings, prepare agendas, and document minutes for project-related sessions.

Documentation and Reporting

· Prepare and update project documentation, including status reports, RAID logs, and Gantt charts.

· Ensure proper version control and storage of project artifacts in designated repositories.

· Support compliance with organizational standards and governance processes.

Communication and Stakeholder Engagement

· Act as a liaison between program teams and stakeholders, ensuring clear and timely communication.

· Facilitate information flow across teams and escalate issues when necessary.

· Support engagement activities, including workshops and stakeholder sessions.

Deliverables include but not limited to:

· Project and meeting coordination including tracking deliverables, action items, maintaining decision logs, and following up on team commitments

· Support the project governance and advisory committee(s)

· Acting as the central intake point for project communications

· Ensuring documentation follows standards, is version-controlled, and stored centrally

· Maintaining integrated project schedules and milestone tracking

· Demonstrating continuous improvement and decision support in alignment with program and organization goals

Must Haves:

  • Minimum 2-5 years experience project managing electronic health-related projects
  • Minimum 2 years of demonstrated experience with the management of project or program communications including both verbal and written, and strong stakeholder engagement skills
  • Minimum 3 years of demonstrated experience with document management including the application of standards, version-control, and storage

Nice-to-Have:

  • Public Sector experience
