Position Description:

This role will work within the Tranche Planning area of the Warfighting Networks and Applications Support Organisation (WSO), ICT Delivery Division, Chief Information Officer Group, Department of Defence.

The project coordinator/ scheduler should be comfortable coordinating and rolling up task-based workflows and Scaled Agile frameworks to support centralised, high-level project management toolsets, introducing automation where applicable to minimise data re-entry and reducing total manual effort for regular reporting.

To ensure success  the project coordinator/ scheduler should possess solid ICT industry knowledge with minimum three years demonstrable experience in program and project coordination and scheduling. Defence experience is highly desirable. A high performing program coordinator / scheduler will be someone whose expertise leads to the successful realisation of envisaged project goals with excellent stakeholder engagement skills.

  • Consulting with product owners, project managers and technical experts/SMEs to define, set up and track work packages, work breakdown structures, tasks, subtasks, dependencies, project milestones etc.

Developing, implementing, and maintaining an effective scheduling management system in both MS Project and JIRA.

  • Coordinating project timelines with internal and external stakeholders.
  • Monitoring project timelines and deadlines.
  • Identifying potential project schedule delays, reporting, escalating and facilitating intervention in a timeframe expected within the project thresholds and tolerances.

Evaluating performance and preparing project progress reports on a weekly and monthly cadence.

  • Accommodating updates and changes to project schedule.
  • Keeping all stakeholders informed of project milestone timelines and deadlines.
  • Team administration management.
  • Secretariat Functions for Tranche planning working and sub-work groups.

Assist in the identification, management and recording of risks and issues in the Tranche Planning Risk, Issue register.

  • Assisting in Schedule Status Activities.
  • Set up and maintain Atlassian (Jira & Confluence) instance/boards.

  • Prepare Tranche Planning Reports for the Senior Leadership Team.
  • Assist in Document Development and Management.
  • Other Directorate and project support activities as required.
