Hi! We're Smartsourcing, and we're looking for a Procurement Admin Associate to support our buying and merchandise planning team. You'll assist with inventory coordination, purchase documentation, and data management—helping optimize stock levels, maximize sales opportunities, and drive profitability across product categories while keeping operations organized and efficient.

Role Overview

The Procurement Admin Associate provides administrative and coordination support to the buying and merchandise planning function. This role helps ensure accurate purchase processing, organized inventory records, and smooth communication between internal teams and suppliers.



Key Responsibilities

• Plan and Forecast: Develop and maintain merchandise plans and forecasts.
• Monitor and track shipments: Collaborating with suppliers, warehouse and retail operations teams.
• Optimize Performance: Organize orders, manage product lifecycles, and stock flow.
• Collaborate: Work closely with cross-functional teams, including warehouse and senior leadership,
  to ensure the right products are in the right place at the right time.
• Drive operational excellence: Monitor stock availability, manage aged inventory, and maximize
  sell-through across retail stores and online.
• Buying: Placing orders with existing range of suppliers to meet customer demand.
• Maintain accuracy: of product and shipment data within internal systems (Apparel21)
• Analyze & Strategize: Dive into sales, margin, and inventory data to provide actionable insights and
  drive business decisions.
• Replenishment: Analyze sales and prepare replenishment and transfer orders for stores.
• Costings: In time, costings will form part of your role which we will teach you.

What we are looking for:

• Experience in stock buying or merchandise planning, allocation, or inventory coordination
• Strong mathematical and Excel skills with the ability to analyze and present data clearly
• Highly methodical, organized, and detail-oriented working style is mandatory
• Comfortable in a smaller, fast-paced environment where collaboration and communication is key
• Retail apparel industry buying, planning background is highly regarded
• Experience with Apparel21 or other industry buying systems is highly regarded
