About the job Receptionist, Training Administration
The Receptionist serves as the first point of contact at SLEC's Training Centre @ DNI e2i, supporting the day-to-day front desk operations of the training centre. The role contributes to a positive learner experience by attending to enquiries, supporting training logistics, maintaining training facilities, and providing administrative support for the smooth delivery of training programmes.
The Receptionist works closely with the CommCare Academy team to support operational continuity at the training centre, enabling programme administrators to focus on their respective training portfolios.
Key Responsibilities
Front Desk & Learner Support
- Serve as the first point of contact for learners, trainers, visitors and stakeholders at the training centre.
- Welcome and register learners and visitors upon arrival.
- Attend to walk-in, phone and email enquiries in a professional and timely manner.
- Provide basic information on training programmes, venue locations, schedules and administrative procedures.
- Direct enquiries to the appropriate training administrator where required.
- Assist learners with attendance matters, course-related documentation and general enquiries.
Training Centre Operations
- Ensure training rooms are set up and ready prior to programme commencement.
- Support training logistics including the preparation and coordination of learning materials, stationery, name tags, refreshments and other programme-specific requirements.
- Coordinate classroom preparation and reset between training sessions.
- Perform basic checks and troubleshooting of training equipment and facilities to ensure their functionality and escalate maintenance issues where further technical support is required. Monitor cleanliness and general upkeep of the training centre.
Administrative Support
- Maintain learner attendance records and support course registration and related administrative processes.
- Perform general administrative duties, including data entry, record keeping and preparation of training materials and learner packs.
- Maintain inventory of training resources, consumables and office supplies, and coordinate replenishment as required.
- Coordinate courier services, document collection and other administrative requests.
- Liaise with trainers, vendors and relevant departments on training and operational matters.
- Provide onsite administrative and logistical support for training programmes, assessments and other programme activities.
- Escalate operational issues, learner concerns and incidents to the relevant programme administrator or manager for follow-up.
General Duties
- Support continuous improvement initiatives for learner experience and training centre operations.
- Undertake other administrative and operational duties as assigned.
Requirements
Education & Experience
- Minimum GCE N/O Level, NITEC or equivalent qualification.
- Prior experience in reception, customer service, hospitality, front desk or administrative support roles preferred.
- Experience in training, education, healthcare or service environments will be an advantage.
