SENIOR FINANCE EXECUTIVE, GRANTS (3 months contract)
Job Purpose
The Senior Finance Executive, Grants is responsible for administering the organisation's grant portfolio by coordinating grant applications, monitoring grant utilisation, ensuring compliance with funding requirements, maintaining accurate grant records, and supporting grant reporting and audits. The role ensures grants are managed efficiently and in accordance with funding agency requirements and organisational policies.
Key Responsibilities
1. Grant Administration
- Coordinate the administration of grants throughout the grant lifecycle, from award to closure.
- Maintain accurate grant records and supporting documentation.
- Monitor grant conditions and funding requirements to ensure compliance.
- Liaise with internal stakeholders on grant administration matters.
2. Grant Tracking & Utilisation
- Monitor grant utilisation against approved budgets and funding conditions.
- Track grant balances, expenditure and utilisation to ensure timely use of funds.
- Identify under-utilisation or overspending risks and escalate where appropriate.
- Prepare regular grant utilisation reports for management.
3. Grant Financial Management
- Prepare grant-related journals, reconciliations and supporting schedules.
- Support grant income recognition and grant accrual accounting in accordance with accounting standards.
- Coordinate grant claims, reimbursements and funding submissions where applicable.
- Ensure grant transactions are accurately recorded within the ERP system.
4. Compliance, Audit & Reporting
- Prepare grant reports required by funding agencies and management.
- Ensure compliance with grant agreements, funding guidelines and regulatory requirements.
- Coordinate grant audits and prepare supporting documentation for auditors.
- Follow up and resolve audit observations and grant compliance issues.
5. Stakeholder Management
- Work closely with programme owners, operational departments and finance teams to monitor grant performance.
- Liaise with funding agencies on grant administration and reporting matters.
- Provide guidance to departments on grant policies, utilisation and documentation requirements.
6. Process Improvement & Systems
- Identify opportunities to improve grant management processes and strengthen controls.
- Participate in ERP enhancements, finance transformation and grant system improvements.
- Support the development of standard operating procedures and grant administration guidelines.
- Promote best practices in grant governance and compliance.
Qualifications & Experience
- Bachelor's Degree in Accountancy, Finance, Business or equivalent.
- Minimum 4–6 years of relevant experience in grant administration, finance or financial reporting.
- Experience managing government or grant-funded programmes will be an advantage.
- Good understanding of grant accounting, compliance and audit requirements.
- Experience using ERP systems and Microsoft Excel.
- Strong analytical, organisational and stakeholder management skills.
