Job Summary:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the executive team at Skills Hub Recruitment Solutions. The ideal candidate will have experience managing high-level administrative tasks, coordinating complex schedules, and providing effective support to senior leadership. This position requires excellent communication, problem-solving skills, and the ability to handle multiple priorities with a high level of professionalism.

Key Responsibilities:

  • Executive Support: Provide comprehensive administrative support to the executive team, including scheduling meetings, coordinating travel, and managing communications.
  • Calendar Management: Efficiently manage and prioritize executive calendars, ensuring that all appointments, meetings, and events are properly scheduled and attended.
  • Communication Liaison: Act as a primary point of contact between executives, internal teams, and external stakeholders, managing emails, calls, and other correspondence.
  • Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and reports, ensuring executives are well-prepared.
  • Travel Coordination: Manage international and domestic travel arrangements, including flights, accommodations, and transportation for the executives.
  • Event Planning: Assist in organizing company events, conferences, and client meetings, ensuring seamless execution.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Administrative Support: Maintain filing systems, handle expense reports, and support in day-to-day administrative tasks as needed.
  • Project Management: Assist with key projects and initiatives, providing administrative support and tracking progress.

Requirements:

  • Experience: Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
  • Skills:
    • Excellent organizational and time-management skills.
    • Strong verbal and written communication skills.
    • Proficient in Microsoaft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
    • Ability to work independently and anticipate the needs of executives.
    • Strong interpersonal skills, with the ability to interact with senior leaders and external stakeholders.
    • Fluent in English; knowledge of Arabic is a plus.
  • Education: A bachelors degree or equivalent experience is preferred.
  • Location: Based in Abu Dhabi, UAE, with availability to travel if required.
