About the job Executive Assistant to the MD

Responsibilities:

  • Act as the main liaison between the Managing Director (MD) and stakeholders. Maintain a high level of professionalism and confidentiality.
  • Manage MD's calendar, schedule meetings, and coordinate appointments. Prioritize tasks to ensure effective time management.
  • Prepare materials for meetings, conferences, and presentations.
  • Conduct research, compile data, and prepare reports for informed decision-making.
  • Handle communication & correspondence on behalf of MD, ensuring accuracy and timeliness.
  • Coordinate travel arrangements for the MD and other executives.
  • Maintain and update company records, ensuring confidentiality.
  • Assist in managing special projects and initiatives.
  • Provide general administrative support e.g. managing calls & supplies, and other administrative tasks as required.

Job Requirements:

  • Bachelor's Degree or equivalent work experience.
  • Proven experience as an executive assistant to senior management.
  • Excellent organizational and time management skills.
  • Strong attention to detail, assertive attitude, and exceptional written & verbal communication.
  • Proficient in Microsoft Office Suite and email management.
  • Ability to handle sensitive and confidential information.
  • Strong problem-solving skills and proactive initiative.
  • Ability to work independently, be resourceful and meet deadlines.
  • Familiarity with the construction/buildings/engineering industry or related field is a plus.
