Job Summary

The Front Office Executive serves as the first point of contact for all clients, visitors, and patients, ensuring a warm, professional, and efficient reception experience. This role combines customer service excellence, administrative efficiency, and communication precision to maintain seamless front-desk and operational support within the clinic.

The ideal candidate will possess a pleasant personality, excellent organizational skills, and strong communication abilities, with proven experience in healthcare, hospitality, or aesthetics environments.

Key Responsibilities

1. Client Reception & Visitor Management

  • Welcome and attend to clients, visitors, and patients in a courteous, professional manner.

  • Maintain a clean, organized, and visually appealing reception area at all times.

  • Manage visitor logs and ensure proper access control within the facility.

2. Communication & Correspondence

  • Answer phone calls, respond to emails, and handle all inquiries promptly and professionally.

  • Provide accurate information regarding the clinics services, procedures, and schedules.

  • Relay messages and coordinate communication between departments effectively.

3. Appointment & Schedule Management

  • Manage appointment bookings, confirmations, cancellations, and follow-ups.

  • Coordinate with doctors, nurses, and technicians to ensure smooth clinic operations.

  • Update daily appointment schedules and ensure minimal client waiting time.

4. Administrative & Office Support

  • Handle documentation, data entry, and filing of patient and administrative records.

  • Process client payments, issue receipts, and reconcile daily financial transactions.

  • Oversee incoming and outgoing mail, deliveries, and office supply inventory.

5. Client Relationship & Experience Management

  • Provide personalized service to enhance patient satisfaction and retention.

  • Follow up on client feedback, inquiries, and aftercare communication.

  • Support marketing and client engagement initiatives, including promotional events and campaigns.

6. Operational Support & Coordination

  • Assist management in maintaining front-office policies, procedures, and reports.

  • Ensure adherence to clinic standards of confidentiality, safety, and service quality.

  • Support team members in executing administrative and operational tasks efficiently.

Required Qualifications & Skills

Education:

  • Minimum of OND/HND/Bachelors Degree in Business Administration, Hospitality, Mass Communication, or a related field.

  • Additional certifications in Customer Service, Office Administration, or Front Desk Management will be an added advantage.

Experience:

  • Minimum of 3 - 5 years of front office, customer service, or administrative experience, preferably in a healthcare, hospitality, or aesthetics environment.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Experience with clinic or appointment management software (EMR systems) is an advantage.

  • Strong organizational, multitasking, and documentation abilities.

Soft Skills:

  • Excellent verbal and written communication skills.

  • Friendly, approachable, and professional demeanor.

  • Strong attention to detail and time management.

  • Ability to work both independently and collaboratively.
