Role Overview

We are looking for Neurosurgery is seeking a highly competent, tech-savvy, and proactive Executive Assistant to provide high-level administrative, operational, and strategic support to the Neurosurgeon-in-Chief (NIC).

This is a senior executive support role that goes beyond traditional personal assistant duties. The successful candidate will play a critical role in executive coordination, academic and clinical program management, digital administration, governance support, and institutional oversight. The role contributes directly to the operational efficiency, strategic effectiveness, and leadership impact of the hospital.

Key Responsibilities

1. Executive & Administrative Support

  • Manage the NICs calendar, meetings, travel arrangements, correspondence, and competing priorities

  • Prepare executive briefs, reports, presentations, and official documentation

  • lServe as a trusted liaison between the NIC, hospital leadership, unit heads, consultants, and external stakeholders

  • Ensure seamless coordination of executive communications and follow-ups

2. Program & Academic Coordination

  • Coordinate neurosurgery residency programs and other clinical training initiatives

  • Track academic schedules, rotations, assessments, certifications, and documentation

  • Support compliance with institutional, academic, and professional training standards

3. Consultant & Engagement Management

  • Coordinate engagements for visiting consultants and external specialists

  • Calculate, document, and track professional fees, honoraria, and compensation in line with hospital policies

  • Maintain accurate records of consultant engagements and related approvals

4. Governance & Meetings

  • Serve as Secretary to Unit Heads meetings and other designated management meetings

  • Prepare meeting agendas, record accurate minutes, track action items, and ensure timely follow-up

  • Support governance documentation and compliance processes

5. Digital & Systems Support

  • Manage selected website and digital administrative functions, including job postings, updates, and internal notices

  • Utilize digital tools to improve documentation, reporting, workflow efficiency, and record management

6. Audit, Reporting & Strategic Oversight

  • Conduct periodic audits of medical activities and operational units as assigned

  • Compile structured analytical reports providing leadership with insights into clinical, academic, and administrative performance

  • Support data-driven decision-making through timely and accurate reporting

7. Representation & Special Projects

  • Represent the Neurosurgeon-in-Chief at approved internal and external meetings, events, and engagements

  • Support special projects, institutional initiatives, and strategic assignments as delegated


Qualifications & Requirements

Education

  • Bachelors degree in any discipline

  • Additional professional certifications are an advantage

Experience

  • Minimum of 2 – 4 years experience in an Executive Assistant, Senior Administrative, or similar role

  • Strong digital literacy and proficiency with modern productivity and collaboration tools

  • Excellent organizational, multitasking, and time-management skills

  • Strong analytical, reporting, and documentation capabilities
