Responsibilities

  • Provide general administrative and clerical support to ensure the smooth daily operation of the Munich office.
  • Manage office supplies, track inventory, and coordinate with vendors for timely replenishment as needed.
  • Assist with meeting coordination, including scheduling, preparing meeting materials, and taking concise meeting notes.
  • Handle incoming and outgoing mail, packages, and general correspondence via email, phone and in-person communication.
  • Maintain digital and physical office records with strict attention to accuracy and confidentiality.
  • Support the local team with ad-hoc administrative tasks as assigned.
  • Complete partial on-site work at the Munich office each week, with flexible core hours to be confirmed.

Requirements

  • Fluent in both Mandarin Chinese and German (written and spoken).
  • Fluency in English is a strong priority and highly desirable for the role.
  • Basic administrative or office support experience is welcomed; early-career candidates are fully encouraged to apply.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office digital tools.
  • Detail-oriented, reliable and proactive, with strong organizational and time-management capabilities.
  • Excellent interpersonal and communication skills, paired with a collaborative, team-focused attitude.
  • Able to commit to fixed weekly on-site hours at the Munich office, and willing to actively complete relevant company-arranged training programs.
  • Legally authorized to work in Germany.
