Responsibilities
- Provide general administrative and clerical support to ensure the smooth daily operation of the Munich office.
- Manage office supplies, track inventory, and coordinate with vendors for timely replenishment as needed.
- Assist with meeting coordination, including scheduling, preparing meeting materials, and taking concise meeting notes.
- Handle incoming and outgoing mail, packages, and general correspondence via email, phone and in-person communication.
- Maintain digital and physical office records with strict attention to accuracy and confidentiality.
- Support the local team with ad-hoc administrative tasks as assigned.
- Complete partial on-site work at the Munich office each week, with flexible core hours to be confirmed.
Requirements
- Fluent in both Mandarin Chinese and German (written and spoken).
- Fluency in English is a strong priority and highly desirable for the role.
- Basic administrative or office support experience is welcomed; early-career candidates are fully encouraged to apply.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office digital tools.
- Detail-oriented, reliable and proactive, with strong organizational and time-management capabilities.
- Excellent interpersonal and communication skills, paired with a collaborative, team-focused attitude.
- Able to commit to fixed weekly on-site hours at the Munich office, and willing to actively complete relevant company-arranged training programs.
- Legally authorized to work in Germany.
