Overview

We are looking for a talented and experienced Admin & Account Assistant to join our team. The ideal candidate will have a strong understanding of the property admin & accounting system.

DUTIES & RESPONSIBILITIES

  • To generate monthly/quarterly invoices for Service Charges, Sinking Fund and other miscellaneous charges in advance.
  • Ensure that the invoices are sent/posted/emailed to the owners in advance (before the billing date).
  • To send/email/post quarterly statements of accounts to the owners.
  • To issue official receipts for payment received from owners based on emails from owners/online bank statements/walk-in owners/tenants.
  • To monitor collections of Service Charges and Sinking funds and to issue reminders to defaulters on a timely basis. To follow up with phone calls or WhatsApp messages.
  • To ensure follow-up action is taken on a timely basis (with the JMB/MCs consent) if defaulters fail to respond i.e. deactivating access cards/publishing a shame list on the notice board.
  • To follow up scheduled installment payments with defaulters if any agreed/approved by the JMC.
  • To generate payment vouchers and to upload the payment in online banking on a timely basis for the Building Exec to check and verify.
  • Coordinate and liaise with the Head Office Accounts Department.
  • To do proper controls for stock/stationeries.
  • To handle general administration and typing.
  • To liaise with suppliers/contractors and obtain quotations as documentary support for work orders.
  • Attend meetings and prepare reports/memos if necessary.
  • To assist the Building Manager/Building Executive in completing another relevant management task
  • Any other related tasks or works assigned by JMB/JMC from time to time.

QUALIFICATIONS & JOB REQUIREMENTS

  • Possesses at least a Degree in Real Estate Management or a Diploma in Accounting, Degree, Professional Certificate, or equivalent.
  • Minimum of 2 years of relevant working experience.
  • Proficient in MS Office and computerized accounting environment.
  • A fast learner and willing to learn new tasks given.
  • Excellent interpersonal and communication skills, able to work with all levels of staff.
  • Proactive, independent, meticulous, attention to detail & under pressure within tight deadlines.
  • English fluency is a must.
