Role Overview
US-based operations and virtual assistant company serving wellness and fitness businesses is building the operations infrastructure of the future for fitness, wellness, and healthcare businesses — and this role is at the centre of it. The Senior AI Builder will work directly with the Founder & CEO to design, build, and iterate on the automations and AI agents that will power client operations, internal workflows, and eventually a proprietary platform.
This is not a theoretical or strategy-only role. The ideal candidate writes real code, ships working agents, and takes pride in building things that hold up in production. They understand how a gym front desk works, how a med spa onboards a patient, and how a wellness business owner thinks — and they build AI infrastructure that reflects that operational reality.
Reporting directly to the Founder & CEO, this person will be a core builder and thinking partner as the company moves from VA placement agency to AI-augmented operations company.
Key Responsibilities
AI Agent Development
- Design and build multi-agent systems for client-facing use cases: lead qualification, appointment management, intake automation, follow-up sequences, and front desk operations
- Develop agents using LangChain, LangGraph, CrewAI, or equivalent frameworks — with a focus on reliability, auditability, and graceful human handoff
- Integrate voice AI capabilities (Vapi, Bland, Retell or similar) for inbound and outbound call automation in fitness and healthcare contexts
- Build and maintain prompt libraries and agent logic that can be reused across client types and scaled into productised offerings
Automation Architecture
- Build end-to-end workflow automations using n8n, Make (Integromat), or both — connecting CRMs, booking systems, billing tools, and communication platforms
- Integrate with platforms common in the wellness and healthcare stack: GoHighLevel, Mindbody, Jane App, Google Workspace, and standard EHR/scheduling tools
- Design automations that are documented, recoverable, and auditable — meeting the accountability standards the company maintains for all client work
- Identify and eliminate manual bottlenecks in the company's own internal operations as a first proving ground for new agent logic
Playbook & Systems Development
- Translate company's operational knowledge into structured playbooks that can be productised and scaled across client segments
- Document all builds clearly: system architecture, agent logic, prompt decisions, and failure modes
- Work with the Founder & CEO to define the Seamless OS roadmap — the lightweight platform layer that will eventually house client-facing automation tools
Client Expansion Support
- Support the build-out of automation infrastructure as the company expands into healthcare and med spa markets — including HIPAA-adjacent considerations
- Contribute to scoping calls and solution design conversations where technical expertise is needed to define what's possible for prospective clients
Who Will Succeed in This Role
This role is built for a builder — not a theorist. The right person is already deep in the AI agent ecosystem: they have GitHub repos or demo videos, they follow the LangChain and n8n communities, and they've shipped things that broke and then fixed them. They are comfortable working in ambiguity, moving fast, and communicating clearly with a non-technical founder.

Experience & Skills
Required
- 3+ years of software development experience with strong Python fundamentals
- Demonstrated experience building AI agents using LangChain, LangGraph, CrewAI, AutoGen, or equivalent frameworks — with a portfolio, GitHub, or demo to show
- Hands-on experience with LLM APIs (OpenAI, Anthropic, or equivalent) at the integration level — not just prompt engineering
- Production-level automation experience with n8n, Make (Integromat), or both — including webhooks, custom modules, and multi-step error handling
- Experience building lightweight backends or APIs (FastAPI, Flask, or equivalent) to support agent infrastructure
- Active AI tool fluency: uses AI tools daily to accelerate their own development work — specific tools and use cases confirmed at screening
- Able to work with US Pacific / Eastern business hour overlap (minimum 4–6 hours per day)
- Exceptional written English: clear, direct, and professional across async communication and documentation
Preferred
- Experience with voice AI platforms (Vapi, Bland, Retell, or similar) for inbound/outbound call automation
- Familiarity with wellness or healthcare tech platforms: GoHighLevel, Mindbody, Jane App, or equivalent
- Understanding of HIPAA compliance considerations for healthcare-adjacent automation
- Prior experience working with a small team or founder-led company — comfortable with lean, fast-moving environments
- Has built or contributed to a productised AI tool, SaaS prototype, or internal operations platform
- Familiarity with data pipeline basics: logging, error monitoring, observability for agent systems
