Role Overview

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support in a fast-paced remote environment.

This role focuses on structured communication, executive productivity, and reliable day-to-day coordination. The ideal candidate is detail-oriented, dependable, and comfortable working independently while maintaining high professional standards.

This position requires availability during Pacific Standard Time (PST) business hours and a minimum English proficiency level of B2+.

Key Responsibilities

Executive & Administrative Support

  • Manage executive calendars and scheduling across time zones

  • Organize and prioritize inbox communications

  • Draft professional emails and correspondence

  • Prepare reports, presentations, and documentation

  • Track deadlines and follow-ups

  • Coordinate meetings, agendas, and minutes

Operational Coordination

  • Maintain structured digital filing systems

  • Support cross-functional communication

  • Conduct research and compile information for decision-making

  • Track expenses and basic documentation

AI & Productivity Tools

  • Utilize AI tools (ChatGPT or similar) for drafting and summarizing

  • Support workflow organization using modern productivity platforms

  • Maintain organized digital systems

Required Qualifications

  • 1–3 years of Executive Assistant or Administrative experience

  • Availability during PST - EST business hours

  • Minimum English proficiency: B2+

  • Strong organizational and multitasking abilities

  • Proficiency in Google Workspace or Microsoft Office

  • Ability to work independently with minimal supervision

  • High discretion and professionalism
