Role Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support in a fast-paced remote environment.
This role focuses on structured communication, executive productivity, and reliable day-to-day coordination. The ideal candidate is detail-oriented, dependable, and comfortable working independently while maintaining high professional standards.
This position requires availability during Pacific Standard Time (PST) business hours and a minimum English proficiency level of B2+.
Key Responsibilities
Executive & Administrative Support

Manage executive calendars and scheduling across time zones

Organize and prioritize inbox communications

Draft professional emails and correspondence

Prepare reports, presentations, and documentation

Track deadlines and follow-ups

Coordinate meetings, agendas, and minutes
Operational Coordination

Maintain structured digital filing systems

Support cross-functional communication

Conduct research and compile information for decision-making

Track expenses and basic documentation
AI & Productivity Tools

Utilize AI tools (ChatGPT or similar) for drafting and summarizing

Support workflow organization using modern productivity platforms

Maintain organized digital systems
Required Qualifications

1–3 years of Executive Assistant or Administrative experience

Availability during PST - EST business hours

Minimum English proficiency: B2+

Strong organizational and multitasking abilities

Proficiency in Google Workspace or Microsoft Office

Ability to work independently with minimal supervision
