What They Do

Systems & Processes

Build and maintain SOPs so the team knows how to do things the right way

Spot what's not working and fix it — don't wait to be asked

Make sure tools and platforms are being used correctly across the team

Team & People

Help with hiring, onboarding, and keeping the team on track

Run team meetings and keep everyone aligned

Support and guide team members when they need help

Finance & Vendors

Track invoices, billing, and vendor payments

Manage relationships with vendors and service providers

Keep contracts, licenses, and compliance documents up to date

Reporting & Results

Build dashboards and reports that show how the business is doing

Share clear, simple updates with leadership on a regular basis

Support planning sessions with data and operational context

AI Tools in Daily Work

Use AI to write SOPs, summarize meetings, draft reports, and handle research faster

Tools expected: Claude, ChatGPT, Gemini — for writing, summarizing, and decision support

Tools expected: Notion AI, ClickUp AI — for task management, documentation, and planning

Tools expected: Zapier / Make — for automating repetitive operational tasks

Tools expected: Google Sheets + AI plugins, Airtable — for dashboards and tracking

Tools expected: Loom — for async team communication and process walkthroughs

Tools expected: Slack + AI integrations — for team coordination and follow-up

Requirements

University degree (any field)

2+ years in an operations, business management, or similar role

English B2+ — written and spoken

Intermediate AI fluency — uses operations-related AI tools daily, not just occasionally

Familiar with CRM and project management tools

Organized, proactive, and comfortable making decisions independently

Available during client business hours — time zone overlap required

Preferred

Experience supporting a founder or executive in a remote setting

Experience managing vendors, contractors, or remote team members

Familiarity with basic finance tracking — invoices, billing, expenses

Background in fast-growing or remote-first companies

Tools & Platforms

Project management: Asana, ClickUp, Notion, Trello, or similar

CRM: Go High Level, HubSpot, or similar

Automation: Zapier, Make, or similar

Communication: Slack, Zoom, Google Meet

Productivity: Google Workspace or Microsoft Office
