Job Scope

The course manager will be responsible to support the Organisarion with course administration and management, to ensure smooth delivery of courses for instructors and both local and international participants, supporting the Singapore Aviation Academy's mission as a centre of excellence for aviation knowledge.

The role comprises:
1. Pre-Course Management
(a) Assist with course applications
(b) Assis with handling enquiries and documentation
(c) Coordinate visa applications and travel arrangements
(d) Assist in preparing course materials and learning resources
(e) Assist in arrangement of instructors admin and travel

2. Course Operations
(a) Manage daily course operations and logistics
(b) Handle classroom setup and technical requirements
(c) Provide on-site support during course delivery
(d) Manage participant attendance and participation records

3. Post-Course Administration
(a) Assist in processing course evaluations and feedback
(b) Assist in Issuance of certificates and course completion documents
(c) Maintain participant database and records
(d) Assist with instructor claims and honorarium payments

4. Instructor and Participant Support
(a) Serve as a point of contact for international and/or local course participants
(b) Coordinate accommodation and local transport arrangements
(c) Handle special requests and requirements
(d) Provide information about local amenities and arrangements

5. Support Administrative and Financial Processing
(a) Overall scheduling of courses and instructors agreements
(b) Tracking and reconciling school-related expenses
(c) Processing payments and claims
(d) Maintaining financial documentation and records
(e) Coordinating with internal stakeholders on finance and admin matters

Requirements

  • Relevant education (Diploma/Degree) with experience in admin, training coordination, or events preferred.
  • Strong organisational skills to manage course applications, scheduling, logistics, and documentation.

  • Good communication and interpersonal skills to support instructors and local/international participants.

  • Operational readiness to handle classroom setup, technical requirements, and on-site course support.

  • Proficiency in MS Office and basic digital/administrative systems; able to maintain databases and records.

  • Ability to coordinate travel, visas, accommodation, and transport for participants and instructors.

  • Basic financial processing skills for tracking expenses, processing payments, and managing claims.

  • Detail-oriented, proactive, and adaptable, with strong customer service orientation.
