About the job HR Associate

Scope:

We are seeking a motivated and detail-oriented HR Associate to join our Regional HR team. The ideal candidate will support end-to-end recruitment activities for Vietnam while assisting with HR operations and administrative processes in India as well. This role involves coordinating with candidates and hiring managers, maintaining recruitment and HR documentation, supporting onboarding and offboarding activities, and ensuring timely communication throughout the employee lifecycle. The HR Associate will also collaborate closely with Regional HR and India HR Operations teams to deliver efficient HR services and ensure compliance with local employment practices.

Responsibilities

Recruitment Coordination

  • Support the recruitment process by coordinating with candidates throughout the hiring lifecycle and acting as the primary local HR contact.
  • Conduct telephonic screening to assess candidate interest, availability, notice period, compensation expectations, and other preliminary information.
  • Schedule interviews between candidates and hiring managers based on mutual availability.
  • Post job advertisements on local job portals and recruitment platforms.
  • Assist with reference checks, background verification, and employment verification by coordinating with candidates.
  • Support offer rollout activities, including preparation of offer documentation, e-signature coordination, and pre-offer formalities.
  • Prepare and share recruitment updates and reports with relevant stakeholders.

HR Operations & Administration

  • Support onboarding and offboarding activities by coordinating employee documentation, induction schedules, and system access requests.
  • Assist with HRIS updates and employee data management. Support HR compliance activities and document management.
  • Respond to routine employee and candidate queries or direct them to the appropriate HR team.
  • Assist in organizing employee engagement activities, induction sessions, and other HR initiatives.

India HR Operations Support

  • Provide administrative support to the India HR Operations team during business requirements or peak periods.
  • Assist with onboarding, offboarding, employee documentation, HR communications, and other HR administrative activities for the India team as required.
  • Maintain HR trackers, prepare basic reports, and support HR operational activities.
  • Perform other HR coordination and administrative responsibilities assigned by the Regional HR team.

Job Requirements

Skills and Competencies:

  • Technical Skills/Tools:
    • Fluency in both Vietnamese and English (written and verbal) is mandatory to effectively communicate with candidates, employees, hiring managers, and regional stakeholders.
    • Good knowledge of Microsoft Excel, Word, and PowerPoint.
    • Familiarity with HRIS and recruitment platforms is preferred.
    • Strong organizational and coordination skills.

Preferred Qualifications:

  • Education:
    • Master's/bachelor's degree in human resources.
  • Experience:
    • 1+ years of experience in Recruitment Coordination, Talent Acquisition, HR Operations, or a similar HR role.
    • Experience supporting recruitment processes in Vietnam will be preferred.
    • Familiarity with Vietnam labor practices and local hiring requirements is an advantage.
