CORE PURPOSE OF THE JOB
The Advertising Coordinator is responsible for receiving and loading client briefs into the system for advertising, promotional, and marketing materials within specified timeframes. This role involves managing the production process, including briefing, amendment management, proof presentation, and ensuring client requirements are met.
PRINCIPAL DELIVERABLES
- Load and manage client briefs and changes, ensuring strict adherence to deadlines.
- Ensure quality assurance for data entered into the system and final outputs.
- Communicate effectively with departments, agencies, and clients to maintain optimal service levels.
- Understand the creative process and apply brand guidelines across media formats.
- Track and manage timelines, providing daily status updates on tasks.
- Liaise with internal staff and clients to gather necessary information and manage amendments.
- Assist clients by resolving brief queries and ensuring prompt responses.
- Manage all work through the system according to the training manual.
- Verify barcodes and product information on client briefs and follow up on image delivery.
- Maintain a continuous workflow for all client briefs and manage promotional briefs within critical path timelines.
- Brief the DTP Advertising team accurately and on time.
- Ensure correct creative themes and brand elements are included in briefs.
- Input accurate data into the system for scheduling and reporting.
- Work with internal teams to prioritize jobs based on critical path timelines.
- Liaise with the agency and DTP team on creative instructions and media bookings.
- Track job progress and communicate with Client DACs to ensure quality output and timely task completion.
- Maintain client confidentiality and uphold professional standards.
- Provide daily status updates and handle day-to-day queries.
- Check media bookings and assist with brief execution as needed.
- Flag missing elements and work with internal teams and service providers to meet critical deadlines.
- Manage job reverts and updates, ensuring correct system records and accurate output.

- Seamless production flow from brief to final proof and material delivery.
- Quality and timely system output for advert layouts and approvals.
- Adherence to system requirements and critical path deadlines.
COMPETENCIES REQUIRED
Qualifications and Skills:
- Matric essential; 3-4 years of experience in retail advertising preferred.
- Certificate or diploma in advertising or related field beneficial.
- Proficiency in Microsoft Office applications.
