Job Summary:
The Junior Fin/Ops Assistant will provide support to the Finance and Operations team in a variety of tasks, contributing to the efficient and effective functioning of the department. Responsibilities:
- Financial Support:
- Assist with basic bookkeeping tasks, including data entry and record keeping.
- Process invoices and payments, ensuring accuracy, timeliness and governance.
- Assist with the preparation of financial reports (management) and statements.
- Reconcile bank statements and other financial documents.
- Support the preparation for audits.
- Operational Support:
- Assist with procurement processes, including creating purchase orders for software and hardware purchases.
- Manage and maintain office supplies and equipment.
- Provide administrative support to the Operations team as needed.
- Assist with the coordination of office events and meetings.
- Maintain and organize company records and files.
- Resourcing Duties:
- Assist with the recruitment process, including sourcing candidates, posting job openings, and screening CVs - Following up with the recruitment agencies on the specific positions
- Conduct initial vetting of candidates skillsets skills matching to job specification.
- Assist with the onboarding of new employees, including preparing paperwork and coordinating training.
- Maintain employee records, ensuring accuracy and confidentiality.
- Support the administration of employee benefits programs.
- Assist with scheduling and coordinating interviews, meetings, and appointments.
- Support the preparation of payroll.
- General Administrative Support:
- Document Preparation and Communication (Word & PowerPoint Proficiency): Drafting and formatting professional correspondence, memos, and other documents using Microsoft Word.
- Assisting in the creation and formatting of presentations using Microsoft PowerPoint for internal and external stakeholders.
- Maintaining accurate and organized records of communication.
- Assisting with the distribution of financial information to relevant parties.
Qualifications:
- High school diploma or equivalent; some university coursework in accounting, finance, or business administration is preferred.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to work independently and as part of a team.
- Good communication and interpersonal skills.
- Basic understanding of accounting principles is a plus.
Preferred Skills:
- Experience with Quickbooks & SAP
- Familiarity with office procedures.
