Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support daily operations, admin functions, and team coordination. This role requires strong multitasking abilities, attention to detail, and excellent communication skills. The ideal candidate thrives in fast-paced environments, manages competing priorities effectively, and ensures seamless administrative processes.
Key Responsibilities
- Administrative Support
Manage calendars, schedule meetings, and coordinate travel arrangements.
Handle email inboxes, draft correspondence, and facilitate professional communication.
Set up and process eSignature documents, ensuring completion and accuracy.
Maintain organized records, databases, and document management systems.
- Project & Operations Support
Support process improvement efforts to enhance efficiency.
Assist in coordinating between teams or departments to ensure smooth workflow.
Organize team events, off-sites, and special projects as needed.
Research and compile data for reports, presentations, or operational decisions.
- Communication & Collaboration
Act as a liaison between executives, teams, and external stakeholders.
Maintain professional, clear, and timely communication across multiple channels.
Ensure follow-ups are completed on time and key tasks are addressed.
Qualifications
- 2+ years of experience in administrative support, office coordination, or a similar role.
- Strong organizational and time-management skills.
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive) and Microsoft Office (Word, Excel, Outlook).
- Excellent verbal and written English communication skills.
- Ability to prioritize tasks, take initiative, and work independently.
- Strong attention to detail, problem-solving skills, and adaptability.
Nice to Haves
- Experience with project management tools (Asana, Notion, Trello, Monday.com).
- Knowledge of basic financial tracking, invoicing, or budget management.
