Position Overview:
Were looking for a smart, hungry, and detail-oriented Operations Assistant to support the day-to-day functions of a lean, AI-enabled recruitment business. This role is ideal for someone eager to gain hands-on experience across admin, ops, and project support while working closely with a high-performing global team.
Key Responsibilities:
- Support daily business operations and help keep the firm running smoothly.
- Own and execute recurring administrative tasks and process improvements.
- Assist with data entry, form building (e.g., JotForm), CRM hygiene, and lead tracking.
- Coordinate internal team communication via Slack and project boards (e.g., Asana).
- Pitch in on light creative tasks (e.g., Canva presentations, templates), if comfortable.
- Research and experiment with AI tools that could improve internal workflows.
- Be actively present on LinkedIn and assist with content creation as needed.
- Quickly learn and use tools in our tech stack (LinkedIn, Notion, Asana, Google Drive, Gamma, ChatGPT, Apollo, etc.).
- Ability to efficiently assist with a small amount of personal tasks for the Founder outside of business responsibilities.
- Take ownership of your professional growth and learning.
Qualifications:
- Highly organized, reliable, self-directed, and ability to take quick feedback.
- Comfortable working independently and across multiple tools/platforms.
- Strong written communication skills.
- Able to troubleshoot, ask great questions, and propose solutions.
- Willingness to learn tools like Airtable, Apollo, and any other tech tools on the job.
Nice-to-Haves:
- Experience as a virtual assistant, operations coordinator, or generalist.
- Familiarity with Google Drive, Airtable, Canva, Notion, or Asana.
- Eye for visual quality and design (e.g., formatting, slide decks, brand materials).
- Artistic flair or appreciation for good design.
- Prior experience in a lean or startup environment (bonus points for recruitment experience).
