Position Overview:
The Executive Assistant plays a pivotal role in providing high-level administrative support to executives within our organization. This position ensures seamless operations of the executive office, optimizing productivity and efficiency.
Key Responsibilities:
1. Calendar Management: Efficiently manage and optimize executives calendars, coordinating internal and external meetings across multiple time zones.
2. Email Mastery: Maintain organized email inboxes, prioritizing correspondence and drafting responses on behalf of executives.
3. Travel Coordination: Arrange comprehensive travel itineraries including flights, accommodations, and logistics for professional engagements and personal travel.
4. Communication Liaison: Act as a primary point of contact, interfacing with internal and external stakeholders with professionalism and clarity.
5. Task Management: Proactively handle tasks and deadlines, ensuring all commitments are met with attention to detail and timeliness.
6. Process Improvement: Develop and implement operational processes and standard operating procedures (SOPs) to enhance efficiency and workflow.
Qualifications:
- Exceptional organizational skills with a keen attention to detail.
- Strong written and verbal communication skills in English.
- Proficiency in productivity tools and platforms such as Google Suite, Microsoft Office, Notion, and other task management software.
- Proactive and self-motivated with the ability to anticipate needs and take initiative.
- Previous experience in executive support roles is advantageous.
