Direct Report : Finance Manager 

Job Responsibilities:

1) FUNCTIONAL RESPONSIBILITIES

1.1) Financial Reporting

- Preparation of the Year End Statutory Financial Statements and liaise with External Auditors [together with PR&FA Mgr]

- Support PR&FA Mgr in preparation of the Year End EFG Group Consolidation Pack

- Prepare Monthly RPT input into TM1

-Support PR&FA Mgr with commentary on Monthly Financial report

1.2) Transaction Processing and Financial Databases

- Manage the transaction processing for all Accounting information and related ledgers and sub-ledgers, except for FA & Inventory.

- Manage and maintain updated Financial databases/master files.[see 1.3) re LSNav Master files]

1.3) LS Nav Masterfiles

- Manage the G/L Chart of Accounts and communicate with Thailand re any new GL CoA and blocking of GCoA’s not required.

- Manage A/R Customer Masterfile

- Ensure System Dimensions are properly used/completed and communicate with Thailand re any changes.

1.4) Month End Processes

- Manage Month End Checklist/Processes, ensuring timely completion of all Month End tasks/processes

- Review/approve all G/L Reconciliations and ensure reconciling items properly processed and all discrepancies resolved.

- Review/approve/sign off all Bank Reconciliations and ensure reconciling items properly processed and all discrepancies resolved.

- Process/approve Month End General Journals including Accruals, Prepayments - Run Month End Revaluation Process and ensure all other Month End processes are run.

- Run Month End [and Year End] close processes.

1.5) Payment Processes

- Review/approve payment processes, including Purchase Orders, Payment Journal …etc.

[Note: A/P Fixed Assets payments are prepared by PR&FA Manager and Approved by Cost Accounting Mgr]]

[Note: A/P Inventory payments are prepared by Cost Accounting Mgr and Approved by PR&FA Manager

- Review/approve all Expense Payments

- Agree with Cashier/RMAC Treasury Manager on prioritizing payments.

1.6 Sales Process and Cash/Voucher/Coupon Collection

- Verify/review Sales Reports/Journals for Brands/Stores and ensure correctly input in LSNav including Dimensions, Sales classifications ..etc [these will be prepared/approved by Accounting Supervisor]

- Ensure Collections [cash vouchers, coupons, pi-pay ..etc] are reconciled to Sales.

- Monitor Accounts Receivable and follow up to ensure collection within credit term.

[Note: Sales to Saji Bumi/EMCAT are handled by Cost Accounting Manager]

1.7 Petty Cash:

- Ensure Petty Cash floats operated on an Imprest System.

- Ensure petty cash expenses correctly posted to the G/L [Note: For Petty Cash used for inventory purchases pass to Costing Team for posting.]

1.8 Process Documentation [SOP’s] and Process Improvements

- Establish a Plan/Program and progressively develop and document Standard Operating Processes [SOPs]

- Work with the Finance Team to review and drive process improvements focused on increased efficiency and enhanced internal control

1.9) Internal Control

- Ensure compliances with Standard Operating Processes [SOP’s]

- Agree with GM and CFO appropriate Bill of Authority and monitor to ensure compliance

- Ensure appropriate Segregation of Duties to provide check and balance

- Ensure Month End Checklist in place and complied with for key reconciliations (eg. Bank A/c’s, ..etc) and other Control A/c’s

- Follow up on any Internal Audit Reports and External Auditors Management letters and ensure identified weaknesses addressed in a timely manner.

- Ensure surprise cash count are performed at all stores and head office

1.10) Other

- Review the Lease Agreements and calculate and post straight line adjustments

- Alert GM about expiring leases for decision to continue or exit.

- Calculate the Franchisee fee and ROH base actual sales and revenues

- Calculate and monitor the other revenue are rebated from Coca and Pepsi

1.11) Supervise/Develop and Lead Accounting Team

- Supervise, support and develop/coach the Accounting Team

1.12) Treasury/Cash Management

[EFG Treasury and Cash Management is the responsibility of the RMAC Treasury Manager and EFG Accounting Manager]

- Provide necessary Cash Flow Inflow and inter-group Outflow information/forecasts to RMAC Treasurer so that the RMAC Treasurer can prepare Weekly/Monthly Cash Flow forecasts and ensure adequacy of Bank Facilities

- Contact Banks with regard Operations and other [pi-pay, Acleda, ABA, POS …etc] issues [exclude Loans]

1.13) Taxation [Indirect vs Direct]

[EFG Tax Returns and Tax Calculation is the responsibility of the RMAC Tax Manager]

- Calculate 1% Minimum Tax

- Advise re any Double Tax Agreement implementation [particularly with regard Withholding Tax [WHT]]

- Liaise with Tax Team with regards to WHT , VAT declaration and payment

- Support Group and RMAC Tax Manager with respect to Transfer Pricing studies/policies.

- Support RMAC Tax Manager/Team on finding documents required for Tax / Tax Audits ..etc.

- Review the agreement whether it is legally minimized tax expense

1.14) Risk Management and Insurance ]

- Advise Insurance Manager with regard store openings and closings and alert to HR about staff insurance that should be not continued.

1.15) Payroll Review and Postings to Cost Centres

[Proofing/checking that Payroll is correct is HR Responsibility including Cost Centre codes ..]

- Post monthly payroll files provided by HR

- Reconcile uniform deposit/ refund to match with GL.

- Post Payroll/Staff Costs/ Bonus Accrual/ Reversal [Note: Information not available to check correct cost centres /stores/brands …etc]

- General Manager/Operations/Brand Managers/Marketing: with respect to:

- Monthly Financial Reviews

-  Business Planning, Budgeting and Forecasting

- Adhoc requirement from GM

- Tax Manager: with respect to:

- Submission ordering & delivery timing re new stores

- Rental contract and other agreement that are relevant to tax

- Treasury: with respect to:

> Cash Forecasting

> Bank Facilities

- Supply Chain: with respect to:

> product costing and ex-works to landed cost calculations

- Legal & Compliance Manager: with respect to:

> Contracts Review included Lease Contracts, Franchise Agreements, Sales & Purchase Agreements..etc

- ERP Project Manager: with respect to:

> Blueprint designed; GL mapping; allocation; report format

2.2) External & Group

- External Auditors

- Bankers

- Group Finance Thailand

- LSNav System Consultants:

3) KNOWLEDGE RESPONSIBILITIES: (key areas of knowledge the role is responsible for ensuring are kept up-to-date, e.g. company process and standards, technical knowledge, market knowledge, competitors etc.. Also consider how this role acts as a ‘subject matter expert’, sharing knowledge and expertise.)

- Financial Accounting: including IFRS, ..etc

- Management Accounting:

- Monitor and review department/ brand KPIs

- Inventory management

- Fixed asset management

- Functional Leadership:

Coaching and Developing: identify development needs and coach/mentor develop the team

- Staffing/Resources: identify resource level required to provide and recruit/develop resource to meet the need

- Identify staff succession planning and prepare staff development/ training plan

Job Requirement:

  • Bachelor Degree/ in Finance & Accounting-Master will be Surplus
  • Qualified Accountant [Pursuing study ACCA]
  • ERP knowledge
  • MS Excel and reporting tools
  • Minimum 5 years experiences in a Management position within a significant finance function
  • Supervisory/leadership/management skills
  • Experience in the Food / FMCG business an advantage
  • Experience in leading big diversified team
  • Excellent knowledge of integrated ERP Systems
