A leading automotive company is seeking a highly qualified Executive Assistant to support its CEO. This person would be the primary person to manage the CEOs calendar, perform administrative tasks, and is expected to have demonstrated high integrity and trust as he/she will be managing highly confidential information.
This position reports to the lead Executive Assistant, and is suitable role for somebody who would like to develop into a CEO Executive Assistant within the next 2-3 years. As such, it is a rare opportunity for a motivated self-starter who is keen to work with the highest level executives within a global organization.
The main responsibilities of this role is as follows:
- Support the CEO with administrative duties, which will include scheduling arrangements, travel reservations, professional and personal calendar management, and related
- Greet visitors/callers and determine whether/when they should be given access to the CEO
- Prepare invoices, reports, memos, letters, financial statements and other documents, using MS Office software
- Attend meetings to record minutes
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Perform general office duties, such as maintaining records management database systems, and performing basic bookkeeping work
- File and retrieve corporate documents, records, and reports
- Open, sort, prioritize and distribute incoming correspondence, including faxes and email
- Answer phone calls and direct calls to appropriate parties or take messages
- Other duties expected of an Executive Assistant, as assigned
Background
- Minimum of 2 years experience in a senior administrative role or as an administrative or personal assistant to a senior leader within a large organization
- Fluent in Thai and English
- Comfortable dealing with senior executives of all nationalities
- Adaptable and flexible to respond to messages or requests outside of standard working hours
- Excellent time management skills, and highly organized
- Ability to work with minimal direction
- Comfortable working in a fast-paced and changing business environment
