Job Context:

Riseup Labs is seeking a highly organized and proactive Sales Administrator / Sales Assistant to support our sales team by ensuring smooth day-to-day sales operations. This role is responsible for maintaining sales structure, ensuring timely follow-ups, managing CRM accuracy, coordinating client documentation, and supporting communication between the sales team, management, back-office, accounting, and clients. The ideal candidate is detail-oriented, process-driven, and enjoys keeping multiple priorities organized while helping the sales team operate efficiently. This position plays a key role in ensuring that no lead, task, message, or opportunity is overlooked.

Job Responsibilities:

Daily Sales Administration

  • Prepare a daily overview of sales activities and priorities.
  • Review the sales calendar and organize the daily schedule.
  • Monitor daily sales tasks and ensure timely completion.
  • Verify that all new leads have been contacted.
  • Ensure assigned follow-up tasks are completed.
  • Monitor communication with prospects to ensure timely responses.
  • Check that priority emails and messages have been addressed.
  • Manage and monitor the shared sales inbox.
  • Coordinate with internal departments when required

End-of-Day Reporting

  • Prepare a concise daily report for management covering:
  • Leads that were not contacted
  • Outstanding or incomplete tasks
  • Follow-up actions required
  • Issues requiring escalation
  • Sales process concerns
  • General sales activity summary

CRM & Sales Pipeline Management

  • Maintain the accuracy and quality of the CRM system (HubSpot).

Responsibilities include:

  • Monitor sales pipeline activity.
  • Review deal stages and identify stagnant opportunities.
  • Notify sales representatives of overdue follow-ups.
  • Ensure deals are updated accurately.
  • Verify contact attempts are properly logged.
  • Monitor adherence to sales sequences and follow-up processes.
  • Clean and maintain CRM records.
  • Escalate recurring issues to the Sales Manager when necessary.

 Lead & Follow-Up Coordination

  • Track new leads from various sources.
  • Ensure prompt assignment and follow-up.
  • Monitor response times.
  • Follow up with sales representatives regarding pending activities.
  • Help maintain strong sales discipline across the team.

Client Documentation Management

  • Review client information submitted through JotForm.

Responsibilities include:

  • Review completed forms for accuracy.
  • Verify all mandatory information has been provided.
  • Ensure required supporting documents are attached.
  • Contact clients regarding missing information.
  • Forward completed files to the appropriate department.
  • Ensure client files are complete before progressing to the next stage.

Sales Process Improvement

  • Identify workflow bottlenecks.
  • Recommend improvements to sales administration processes.
  • Help standardize internal procedures.
  • Support management with administrative improvements.

Educational Requirements:

  • HSC/Bachelor

  • Proactive, reliable, and detail-oriented work style
  • Strong computer literacy and willingness to learn new software

Highly Preferred

  • Experience with HubSpot CRM
  • Experience with Monday.com
  • Experience using Aircall, CloudTalk, or similar telephony platforms
  • Previous experience in a Sales Support, Sales Administration

Back Office role

  • Experience preparing reports and maintaining sales documentation
  • Knowledge of an additional language is an advantage

  • Percentage of new leads contacted within SLA
  • CRM data accuracy and completeness
  • Number of overdue deals requiring follow-up
  • Completion rate of daily sales tasks

Working hour:

  • 2.00 PM to 6.00 PM (BST)
  • 4.00 PM to 8.00 PM (PHT)

Workplace: 

  • Uttara, Dhaka (For Bangladeshi Candidates)
  • Remote (For International Candidates)

Salary: 

  • Negotiable (Based on experience and skills)
