Position: Sales Support & CRM Administrator

Number of hours: 40 hours per week
Schedule: UK business hours (Monday to Friday, 9:00 AM – 5:00 PM)

Key Responsibilities

  • Follow up on quoted projects and existing sales leads from the past 12 months using HubSpot CRM.

  • Contact prospects and customers via phone and email to determine project status, identify current decision-makers, and uncover new business opportunities.

  • Gather key project information, including whether the project is proceeding, if the original contractor was successful, and who was ultimately awarded the project.

  • Maintain accurate and up-to-date customer, project, and opportunity records within HubSpot CRM.

  • Research and identify updated contacts when previous decision-makers are no longer involved.

  • Prepare and send professional follow-up emails while maintaining clear and consistent communication with prospects.

  • Follow established sales support processes, workflows, and call procedures to ensure consistency and data accuracy.

  • Escalate qualified opportunities and important project updates to the UK sales team.

  • Meet daily and weekly KPIs for outbound calls, CRM updates, and follow-up activities.

  • Provide ongoing administrative and sales support as required, with the opportunity to transition into a broader administrative support role.

Qualifications

  • Proven experience in Sales Support, CRM Administration, Customer Service, Lead Follow-up, or a similar role.

  • Hands-on experience with HubSpot CRM or other CRM platforms is highly preferred.

  • Strong experience conducting outbound calls and following up with customers and prospects.

  • Excellent verbal and written English communication skills with a clear, professional, and neutral accent.

  • Confident communicating over the phone and comfortable making outbound calls for several hours each day.

  • Strong written communication skills with the ability to draft accurate and professional emails using tools such as Microsoft Copilot, ChatGPT, or similar AI writing assistants.

  • Tenacious and persistent, with the ability to identify the correct contacts and consistently follow up on opportunities.

  • Strong attention to detail with the ability to accurately update CRM records and maintain data integrity.

  • Process-driven and able to follow documented workflows, procedures, and call scripts.

  • Self-motivated, dependable, and capable of working independently while achieving KPIs.

  • Excellent organizational, time-management, and multitasking skills.

  • Participate in regular performance reviews and one-on-one coaching sessions with the UK-based manager.
