Position: General Virtual Assistant

Number of hours: 15 hours/week

Schedule: EST

Tasks required:

  • Maintain and coordinate monthly calendars, ensuring effective time management and scheduling of meetings, appointments, and travel arrangements

  • Manage emails and phone calls as assigned by the client

  • Prepare and edit reports, presentations, and documents, while maintaining an organized filing system for easy retrieval

  • Assist in the onboarding process and setting up interviews for new employees

  • Assist in preparing meeting agendas, taking meeting minutes, and ensuring timely distribution of materials to participants

  • Maintain the companys website and Eventbrite page ensuring that the latest information is displayed

  • Provide support by doing surveys for prospective participants to the organizations events like educators, brands, or interested groups within communities

  • Conduct research on possible grants and partnerships that the organization can apply to and assist in the application process

  • Handle sensitive and confidential information with the utmost discretion and professionalism

  • Collaborate effectively with other team members and departments to ensure seamless workflow and the achievement of organizational goals

  • Set up and send out monthly newsletters and monitor the open rates, unsubscribes, and other established KPIs on Mailchimp

  • Basic social media management including, but not limited to, social media posting, digital marketing management

  • Other ad hoc tasks that would be assigned


Requirements:

  • Proven work experience as a General Virtual Assistant or relevant role is an advantage but not required

  • Familiarity with marketing automation software like Mailchimp and event management and ticketing website like Eventbrite is required

  • Strong proficiency in office software and communication tools

  • Knowledge of online calendars and scheduling (ex. Calendly, Google Calendar)

  • Excellent verbal and written English communication skills

  • Discretion and the ability to handle confidential information

  • Excellent phone, email and instant messaging communication skills

  • Highly organized and detail-oriented; able to efficiently prioritize multiple tasks

  • Adaptability and a proactive mindset

  • Ability to work independently and in a team-oriented environment

  • Self-disciplined and organized; able to consistently perform with limited supervision
