Position: Loan Administrator

Overview
We are seeking a detail-oriented and analytical Loan Administrator to join our team. This role is responsible for supporting the end-to-end mortgage lifecycle, including underwriting support, funding coordination, post-closing administration, and compliance. The ideal candidate brings a strong foundation in risk analysis, documentation accuracy, and stakeholder communication, particularly within a private mortgage lending environment.
Key Responsibilities
Evaluate mortgage applications based on private lending criteria, including the marketability of residential and commercial properties.
Conduct risk assessments by analyzing borrower profiles, credit reports, income, assets, equity positions, financial statements, and appraisals.
Structure mortgage deals in alignment with lending guidelines and risk tolerance.
Prepare and issue Letters of Intent (LOIs), mortgage commitments, and related documentation, and follow up on outstanding conditions.
Collect, verify, and validate data from multiple sources to ensure accuracy in underwriting decisions.
Review funding packages to ensure alignment with Commitment Letters, legal requirements, and internal approvals.
Track and manage funding conditions, including insurance, registrations, AML documentation, and third-party deliverables.
Coordinate wire requests and fund disbursements, ensuring all internal sign-offs are completed prior to release.
Maintain accurate and organized loan files and system records for auditing and compliance purposes.
Complete post-closing activities, including checklists, system updates, audits, and final reporting for funded deals.
Liaise with mortgage brokers, lawyers, appraisers, insurers, and internal teams to support smooth and timely closings.
Ensure compliance with federal, provincial, and local mortgage lending regulations.
Contribute to process improvement initiatives, including refining templates, checklists, trackers, and procedures.
Qualifications
Previous experience in loan administration, mortgage underwriting, or mortgage processing, preferably within private lending.
Strong understanding of mortgage risk analysis principles, including creditworthiness, LTV ratios, and property valuation.
Proficiency in MS Office (Office 365), Outlook, OneDrive, DocuSign, and Google Drive.
Strong data entry, validation, and reconciliation skills across multiple systems.
Excellent written and verbal English communication skills, with the ability to communicate professionally with internal and external stakeholders.
Highly organized and process-driven, with exceptional attention to detail where accuracy is prioritized over speed.
Strong negotiation and conflict-resolution skills.
Ability to work effectively under pressure, manage high-volume workloads, and meet strict timelines.
Adaptable, reliable, and able to work independently once trained.
Willingness to learn and apply private mortgage lending concepts and regulatory requirements.
