Position: Executive Assistant

Number of hours: 20 hours/week
Schedule: New Jersey Timezone (EST), between 9AM-5PM

Key Responsibilities

  • Maintain and update the company newsletter to ensure timely and engaging communication.

  • Provide comprehensive administrative support, including organizing documents and workflows through Google Workspace (Docs, Drive) and managing transactions in bill.com.

  • Support HR functions by updating manuals, organizing employee records, onboarding new hires, maintaining SOPs, and assisting with payroll by processing invoices in QuickBooks.

  • Perform basic website updates using Webflow to ensure accurate and up-to-date content.

  • Manage and coordinate the CEO’s calendar, events, and schedules, ensuring efficiency and accuracy.

  • Post and schedule content on social media platforms (graphics provided).

  • Continuously identify and implement process improvements to enhance efficiency, automation, and seamless operations.

  • Collaborate with cross-functional teams to provide timely support aligned with organizational goals.

Qualifications

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

  • Exceptional organizational and time-management skills, with the ability to handle multiple priorities under pressure.

  • Proficiency in Google Workspace (Docs, Drive), with working knowledge of bill.com and Mailchimp is a plus.

  • Hands-on experience with QuickBooks for invoice and payroll support.

  • Familiarity with Webflow for simple website edits (preferred).

  • Strong background in HR administration, including onboarding, updating SOPs, and maintaining employee files.

  • Excellent written and verbal communication skills.

  • Proactive, detail-oriented, adaptable, and eager to learn.

  • Experience or familiarity with non-profit organizations is a plus.
