Position: Executive Assistant
Number of hours: 20 hours/week
Schedule: New Jersey Timezone (EST), between 9AM-5PM
Key Responsibilities
Maintain and update the company newsletter to ensure timely and engaging communication.
Provide comprehensive administrative support, including organizing documents and workflows through Google Workspace (Docs, Drive) and managing transactions in bill.com.
Support HR functions by updating manuals, organizing employee records, onboarding new hires, maintaining SOPs, and assisting with payroll by processing invoices in QuickBooks.
Perform basic website updates using Webflow to ensure accurate and up-to-date content.
Manage and coordinate the CEO’s calendar, events, and schedules, ensuring efficiency and accuracy.
Post and schedule content on social media platforms (graphics provided).
Continuously identify and implement process improvements to enhance efficiency, automation, and seamless operations.
Collaborate with cross-functional teams to provide timely support aligned with organizational goals.
Qualifications
Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
Exceptional organizational and time-management skills, with the ability to handle multiple priorities under pressure.
Proficiency in Google Workspace (Docs, Drive), with working knowledge of bill.com and Mailchimp is a plus.
Hands-on experience with QuickBooks for invoice and payroll support.
Familiarity with Webflow for simple website edits (preferred).
Strong background in HR administration, including onboarding, updating SOPs, and maintaining employee files.
Excellent written and verbal communication skills.
Proactive, detail-oriented, adaptable, and eager to learn.
Experience or familiarity with non-profit organizations is a plus.
