Job Description
We are looking for a Human Resources Assistant to support the Group Head of HR, primarily for the Kigali office. The role will assist with day-to-day HR administration, maintaining accurate employee records, and supporting recruitment and onboarding activities.
Qualifications
The successful candidate should hold a Diploma or bachelor's degree in human resources or a related field. We are looking for someone reliable, organized, and able to handle confidential information with care and professionalism.

Position Purpose
To provide day-to-day administrative and operational support to the HR function to ensure efficient delivery of human talent management services, accurate employee records, smooth recruitment and onboarding processes, and consistent application of HR policies and procedures, primarily in Rwanda.
Key Responsibilities
1. HR Administration & Records
- Maintain accurate employee files (physical and digital) and ensure timely updates.
- Manage HR documentation (contracts, letters, confirmations, warnings, role changes).
- Track staff leave, attendance, and other HR trackers, and flag anomalies to the HR lead.
- Support data entry and routine maintenance of HRIS/payroll inputs where applicable.
- Prepare standard HR correspondence and support issuance of HR documents.
2. Recruitment Support
- Coordinate vacancy postings, application tracking, and candidate communications.
- Schedule interviews, prepare interview packs, and coordinate assessments.
- Support reference checks and compile recruitment documentation for approval.
- Maintain an up-to-date recruitment pipeline report.
3. Onboarding & Offboarding
- Prepare onboarding documentation and induction schedules.
- Coordinate pre-employment requirements (IDs, certificates, medicals if applicable).
- Support orientation sessions and ensure completion of onboarding checklists.
- Coordinate offboarding processes, exit checklists, and exit interview logistics.
- Ensure retrieval/return of company property and close-out of employee records.
4. Employee Support & HR Service Delivery
- Respond to routine employee HR queries and route complex issues appropriately.
- Support employee engagement activities (events, announcements, communications).
- Assist with maintaining HR forms, templates, and standard operating procedures.
5. Compliance & Reporting
- Support compliance with Rwanda labour regulations and internal HR policies.
- Assist with compiling HR reports (headcount, turnover, leave, recruitment metrics).
- Support audits by ensuring documentation is complete, organized, and accessible.
- Maintain confidentiality and appropriate data protection practices.
6. Other Duties
- Provide general administrative support to the HR team as required.
- Undertake any other reasonable tasks assigned by the HR lead.
Required Qualifications and Experience
- Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
- 1–3 years' experience in an HR administration or assistant role (preferred).
- Familiarity with basic HR processes (recruitment administration, records management, onboarding).
- Experience using MS Office (Excel, Word, PowerPoint); SAGE exposure is an advantage.
- Experience working in financial services, insurance, or regulated industries is an advantage.
