Responsibilities

  • In this fast-paced role, you will manage high-priority tasks, streamline operations, and ensure that our executives can focus on driving the companys vision forward
  • Executive Support: Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and meeting coordination
  • Communication: Serve as a primary point of contact between executives and internal/external stakeholders
  • Prepare and manage correspondence, reports, and presentations
  • Project Management: Assist in the planning, execution, and follow-up of key projects and initiatives
  • Track progress, deadlines, and deliverables
  • Office Management: Oversee day-to-day office operations, including facilities management, supplies procurement, and event coordination
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality
  • Process Improvement: Identify opportunities for process improvements and implement solutions to enhance efficiency and productivity
  • Team Collaboration: Work closely with other Accounts & administrative staff and team members to support company-wide initiatives and ensure seamless operations
  • Meeting Management: Work closely with executive leaders to schedule, coordinate, and facilitate meetings
  • Including but not limited to note taking, agenda building and owner/take-away follow up
  • Performs other related duties as assigned

Qualifications

  • Experience: 5+ years of experience in an executive administrative role, preferably in a fast-paced or innovative environment
  • Skills: Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively
  • Communication: Excellent written and verbal communication skills, with a keen eye for detail
  • Technology: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools and software
  • Adaptability: Ability to thrive in a rapidly changing environment and manage multiple priorities with a proactive approach
  • Problem-Solving: Strong analytical skills and a solutions-oriented mindset
  • Must be based in the UAE. Pref. Available to start immediatley
