Position: Volunteer Event Executive

Location: Remote / Hybrid (Brazil/Ireland-based applicants preferred)

Time Commitment: Part-time (flexible hours, approximately 3-5 hours per week)

Role Overview:

As the Volunteer Event Executive, you will lead BRIA’s efforts to help bring our events to life. You will be responsible for planning and executing both virtual and in-person events from start to finish, supporting our mission to build community and celebrate Brazilian culture in Ireland.

Key Responsibilities:

  • End-to-End Event Planning: Plan, coordinate, and execute BRIA events (both virtual and in-person), ensuring alignment with brand standards and community goals.

  • Project Tracking: Monitor event timelines, schedules, and logistics to ensure tasks are completed on time.

  • Stakeholder Liaison: Communicate with partners, sponsors, vendors, and attendees to ensure all parties are aligned and engaged.

  • Logistics Support: Help manage virtual and in-person event logistics, including venue coordination, tech setup, guest list management, and follow-ups.

  • Documentation & Reporting: Prepare event briefs, schedules, run-of-show documents, logistics trackers, and post-event reports.

  • Tool Implementation: Assist in the implementation and use of event planning tools, platforms, and resources.

  • Creativity & Engagement: Bring fresh ideas to enhance event experiences and foster community involvement.

  • Virtual Event Support: Host or co-host online events via platforms like Zoom, Microsoft Teams, or Webex, including technical setup, live troubleshooting, and session moderation.

  • Team Collaboration: Work closely with the Events Manager and other team members to ensure smooth communication and execution.

Skills & Qualifications:

  • 1–3 years of experience in event planning or coordination, ideally in corporate, nonprofit, or agency environments (volunteer experience welcome).

  • Proven ability to manage multiple events simultaneously with strong attention to detail.

  • Experience in managing both physical and virtual events.

  • Confident using virtual event platforms (e.g., Zoom, Microsoft Teams, Webex), including live session setup and troubleshooting.

  • Strong organisational and time-management skills.

  • Effective communication skills in both Portuguese and English.

  • Comfortable working independently and collaboratively in a remote, multicultural team.

  • Ability to collaborate with a team in a dynamic, remote environment.

  • Flexibility to occasionally volunteer evenings or weekends, depending on event schedules.
