Job Description:
Purpose of Position: Under general supervision, the Data Entry Clerk performs various clerical tasks to provide standard administrative and technical information and organizes data and information in the support of the work and services of Central Facilities Services.

Essential Functions:
The following are the essential duties and responsibilities the incumbent must be able to perform.

Enter billing information into the database system according to the shop and institution. Check for accuracy.
Identify and correctly process payment requests in the human resources information system (Workday HCM).
Retrieve data and/or produce various reports based on the types of data requested.
Close work orders when they are complete in a timely manner.
Manage the files for an entire truck fleet and work directly with the Department of Motor Vehicles on new purchases and transfer of titles on sales of vehicles.
Prepare purchase orders for all Special-Order items and submit to the vendor.
Work directly with vendors on all service calls.
Answer the telephone and direct calls to the appropriate department.
Sort mail, date stamp, and distribute.
Make space reservations for meetings and events.
Perform other related job duties as assigned.

Required Work Hours: The regular hours for this full-time position are 8:00 a.m. to 4:30 p.m., Monday through Friday. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to the needs of the organization or business unit.

Qualifications

Required Qualifications: The following qualifications are required to perform the essential functions of this position, or the individual must be able to demonstrate how the essential functions will be performed (with or without reasonable accommodation) using other qualifications not listed below.

Education : A high school diploma or the equivalent.

Experience : Data entry experience or related office experience

Knowledge, Skills, and Abilities :
Fluent language skills in English, including the ability to write with proper grammar, spelling, and business etiquette.
Spanish language skills are a plus.
Ability to perform data entry on a computer for prolonged periods of time. Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, and Teams.)
Ability to operate basic office equipment such as multi-line telephone, large-capacity printer, facsimile machine, etc.
Strong customer service skills and an ability to work effectively with diverse individuals.
Ability to present a neat and professional appearance and present self in a manner that reflects positively on the organization.
Ability to work in a safe manner and comply with all applicable OSHA and Cal/OSHA rules.
Dependability, strong work ethic, and a positive attitude.

Other :
Sit for prolonged periods of time.
Walk, stoop, and carry up to 10 pounds.
Dexterity to manipulate paper, hardcopy files, writing instruments, computer keyboard, copier, telephone, and other typical office equipment.
Must provide evidence of complete COVID-19 vaccination within 30 calendar days of hire, unless a medical or religious accommodation or exemption is requested and granted.

Preferred Qualifications: The following qualifications are preferred:

Some college coursework and/or clerical training.
Three or more years of related clerical or office support experience, including data entry.
