Operations Manager - Property Management Company

Location: Remote 
Position Type: Full-Time, 9am-5pm UK and available some Saturdays
Salary: R27000

About the Role

Were seeking an experienced Operations Manager to lead and streamline our property management operations. In this pivotal role, youll oversee multiple departments, ensure seamless processes, and drive exceptional client and guest experiences. This position requires a hands-on leader with excellent organizational skills, a proactive mindset, and the ability to manage a diverse range of responsibilities.

Key Responsibilities

Daily Tasks:

  • Monitor and respond to client emails.
  • Review Trello boards and Slack updates.
  • Oversee daily tasks for Guest Communications (GC) and Property Management (PM) teams.
  • Address client complaints and conduct one-on-one client sessions.
  • Update and maintain CRM systems.
  • Track KPIs and perform quality checks on team outputs.
  • Maintain training logs for ongoing employee development.

Departmental Oversight:

Guest Communications:

  • Be available occasionally after hours for support.
  • Supervise team performance and provide ongoing training.
  • Recruit and onboard new team members when needed.
  • Conduct weekly spot checks and monitor client reviews to identify gaps.
  • Update SOPs regularly and implement team-building strategies.
  • Conduct weekly one-on-one meetings to ensure performance standards are met.

Admin Assistance:

  • Recruit and train staff for available roles.
  • Oversee projects and provide sign-off.
  • Plan department goals and implement Personal Development Plans (PDPs).
  • Conduct weekly one-on-one reviews with team members.

Client Management:

  • Monitor client inboxes and provide timely responses.
  • Build and nurture client relationships.
  • Strategize to meet client management goals and resolve issues proactively.

Property Management & Maintenance:

  • Oversee property maintenance and approve expenses.
  • Build contractor relationships and negotiate better rates.
  • Conduct weekly meetings with the Property Manager and maintenance team.
  • Identify and onboard reliable contractors as needed.

Guest Management:

  • Approve guest compensations and address complaints.
  • Ensure all guest communications KPIs are met.

Cleaning Operations:

  • Manage relationships with cleaning teams and ensure daily tasks are completed.
  • Negotiate improved rates with cleaning vendors.

Finance & Bookkeeping:

  • Oversee weekly contractor invoices and pay runs.
  • Investigate and resolve payment queries.

General Duties:

  • Provide daily feedback to directors.
  • Lead weekly push-reporting meetings.
  • Stay informed about all business operations and brainstorm process improvements.

Weekly Tasks

  • Conduct KPI meetings for Guest Communications and Property Management.
  • Hold one-on-one reviews with team members.
  • Perform cleaning spot checks and troubleshoot team issues.
  • Review weekly progress and analyze results.
  • Collaborate on quarterly target reviews.
