Role Overview:
We are looking for a reliable, organized and detail-oriented Administrative Assistant to support our Melbourne operations.
This is a general administration role involving day-to-day coordination, data entry, scheduling, invoicing, basic accounts support, documentation, customer and team communication, and maintaining accurate business records.
The ideal candidate is someone who is comfortable working with systems, can manage multiple tasks, follows processes carefully, and takes initiative to keep things moving. Experience with ServiceM8 is highly desirable, along with some exposure to invoicing or basic accounting administration.

Responsibilities:

  • Provide general administrative and operational support to the Melbourne team
  • Manage and update customer, job and business information in internal systems
  • Use ServiceM8 to assist with job administration, scheduling and record management
  • Coordinate bookings, schedules and day-to-day operational requirements
  • Perform accurate data entry and maintain digital records and documentation
  • Prepare and issue invoices and assist with general invoicing administration
  • Monitor outstanding invoices and assist with payment follow-ups where required
  • Assist with basic accounts administration, including processing invoices, purchase orders, receipts and related documentation
  • Check billing information, pricing and job details for accuracy
  • Assist with reconciling basic records and identifying discrepancies or missing information
  • Monitor and follow up outstanding tasks, paperwork and information
  • Assist with customer enquiries and general communication where required
  • Prepare and maintain spreadsheets, reports and administrative records
  • Manage general email and administrative correspondence
  • Assist with coordinating jobs and supporting the wider operations team
  • Maintain organized files, records and databases
  • Assist with ad-hoc administrative tasks and projects as required
  • Identify opportunities to improve administrative and operational processes


Role Requirements:

  • Previous experience in administration, office support, customer service or operations
  • Experience with invoicing or basic accounts administration
  • Strong organisational and time-management skills
  • Excellent attention to detail and accuracy
  • Strong written and verbal communication skills
  • Confident using computers, email, spreadsheets and online business systems
  • Experience with ServiceM8 is highly desirable
  • Experience with accounting, CRM, job management or scheduling software is advantageous
  • Basic understanding of invoicing, accounts receivable and general financial administration
  • Ability to learn new systems and processes quickly
  • Ability to manage multiple priorities and meet deadlines
  • Strong problem-solving skills and a proactive approach
  • Ability to work independently and as part of a team
