About the role:
As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our client's business. You will be responsible for a variety of administrative and clerical tasks that help to streamline processes and support various departments.
Key Responsibilities:
- Schedule and manage appointments, meetings, and events, ensuring efficient time management.
- Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.
- Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
- Maintain and update databases, ensuring data integrity and confidentiality.
- Assist with the organization of office operations and procedures, including filing systems and office supplies management.
- Coordinate travel plans, including booking flights, accommodations, and transportation.
- Provide excellent customer service to clients, vendors, and internal team members.
- Support special projects and initiatives as needed
Qualifications:
- Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
- High school diploma; additional qualifications as an Administrative Assistant, Executive Assistants, or Secretary are a plus.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular), familiarity with office equipment and applications (e.g., e-calendars and copy machines).
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- High degree of accuracy and attention to detail.
- Ability to work independently and solve problems efficiently.
- Preferred Skills:
- Experience with cloud-based software and tools such as Google Workspace, Trello, Slack, and other productivity tools.
- Experience in customer service roles.
- Knowledge of basic accounting and bookkeeping practices.
