Job Summary

Under the direct supervision from the Director of Human Resources, the Administrative Support Clerk will perform administrative and routine clerical tasks within the Administrative, Operations, Development, Community Intervention Center, and Safe Place Programs.

Primary responsibilities may include site visits for Safe Place sites. Ensuring that staff at each location are aware of the program, have completed program, have sign visible, instruction sheet available, and document all visits, and communicate back to Pivot leadership needs at every site.

Secondary responsibilities may include 30, 60, and 90 day follow up phone calls to families of youth who were processed through the Community Intervention Center. The goal is to provide any additional resource/referral information to the family. Submit referrals as needed to other programs within Pivot and/or externally.

Tertiary responsibilities may include organizing and managing files, acting as receptionists, scheduling meetings and appointments, and supporting other staff with organizational tasks.

Responsibilities

Communicate with Directors and leadership to coordinate schedules

Prepare essential documentation, including memos, reports, and other forms of communication

Complete Safe Place site visits

Complete CIC follow up phone calls and assist with additional referrals

Organize and maintain files and databases in a confidential manner

Perform other administrative support tasks, including updating and sorting files, drafting and proofreading correspondence, and conducting research

Answer and respond to organization emails and phone calls, and forward communications to appropriate parties as necessary

Support leadership by managing assigned support tasks

Qualifications

Must pass fingerprint background and drug test.

Associate's degree in office administration may be preferred

0-1 years of experience for entry-level positions

Familiarity with productivity tools, such as Microsoft Office Suite

Knowledge of email systems, including Microsoft Outlook and Gmail

Working knowledge of or ability to learn to use office equipment, including printers, fax machines, and phone systems

Strong communication skills

The ability to work independently and seek help or assistance as needed

Self-motivated and highly organized

Distinctly dependable and trustworthy, with a strong and proven work ethic

Expectations:

Maintain working relations with staff and public. Recognizing and maintaining confidentiality of work materials. Working independently in the absence of supervision.

Needs to be able to give 20 hours a week and be dependable. Provide appropriate assistance to the public and staff of Pivot Inc.

Certificates, Licenses and/or Registration: Possession of a valid Oklahoma Drivers License and current vehicle insurance verification.

Training: Complete understanding of all agency programs and services, and any training needed as determined by supervisor.

Kneeling: Minimal May assume hand/knee position up to 25 times per day.

Vision: Must be able to see to read, write, and perform computer entry and work processing.

Hearing: Must have hearing sensitivity, aided or unaided, sufficient to hear low level conversations of patients and equipment alarms set at usual levels. May utilize telephone 1-2 hours per day.

Supervision Received: The Administrative Support Clerk is hired and supervised by the Director of Human Resources and is a non-exempt employment position.
