The Office Administrative Assistant provides administrative assistance to all plant personnel. This position is the initial contact for visitors and telephone calls and thus manages themselves in a professional manner at all times. The position supports plant employees and financial departments.

Essential Responsibilities

  • Represents Minnkota in a positive light
    • Receives visiting guests in a welcoming manner
    • Expresses self on the telephone in a courteous professional manner
    • Expresses self in a kind and positive manner to fellow employees to ensure cooperation and team work throughout the station
    • Shares knowledge of Minnkota as a tour guide
  • Provides administrative support to plant staff and employees
    • Records accurate meeting minutes
    • Composes documents that are understandable, grammatically correct, and professional
    • Ensures adequate supply of groceries, office supplies and stocks kitchen and coffee area
    • Organizes digital photography files to ensure ease of retrieval
    • Utilizes office equipment to meet the needs of the station
    • Assembles operations and coal handling yearly work schedules and vacation schedules
    • Acts as backup to other administrative staff
    • Enters work orders for maintenance activity
    • Order, pickup or arrange delivery of meals
    • Sort, distribute and pick up mail
    • Data entry
    • Assist in setup of rooms for meetings
  • Provides support to financial departments
    • Processes blanket purchase order deliveries
    • Ensures that GF accounting and procurement receive clear scanned documents
    • Ensures proper accounting of expense requests and authorize them
    • Submits requisitions as necessary
    • Ensures proper inventory levels by issuing, and reconciling of bulk product levels
    • Reports accurate hour and mileage use of vehicles
    • Reconciles credit card statement
