We are seeking a proactive and detail-oriented Intake Specialist (Front-End) to join a U.S.-based immigration law firm. This role is the first point of contact for new clients and plays a vital part in ensuring excellent communication, accurate case processing, and efficient support for attorneys and staff.

The ideal candidate has experience working with U.S. immigration law firms, demonstrates strong organizational skills, and can manage multiple tasks with precision and professionalism.

Key Responsibilities

Client Communication & Case Intake

  • Answer incoming calls and respond to client inquiries promptly and professionally.

  • Process incoming emails, including saving and organizing documents.

  • Onboard new clients, ensuring accurate data entry and smooth transition to case teams.

  • Notify clients via email of filed applications and other case updates.

  • Assist clients with payments and maintain clear records.

Case Management & Administrative Tasks

  • Manage calendars and schedule client appointments and interviews.

  • Prepare and process FOIA requests (submission, tracking, and delivery to clients/staff).

  • Handle EAD and travel document renewals, change of address (AR-11), service requests, and Adit stamp requests.

  • Process interview postponement requests.

  • Review Docketwise forms for accuracy and completeness.

  • Create and maintain organized digital records for all cases.

Team Support

  • Provide general assistance to attorneys and staff as needed.

  • Maintain communication with team members to ensure cases progress efficiently.

Qualifications

  • 2+ years of experience in an immigration law firm (required).

  • Strong understanding of USCIS procedures and forms.

  • Experience using Docketwise or similar immigration software (preferred).

  • Excellent written and verbal communication skills in English; bilingual (English/Spanish) preferred.

  • Highly organized, detail-oriented, and able to manage multiple priorities.

  • Proficient with Google Workspace, Microsoft Office, and online communication tools.
