We are seeking a highly organized and detail-oriented Legal Assistant to provide direct support to a litigation attorney. This role is ideal for someone who is comfortable managing multiple deadlines, maintaining organized case files, preparing and filing legal documents, and proactively keeping cases and the attorney's calendar on track.

The ideal candidate has experience supporting U.S. litigation matters, strong written English, excellent attention to detail, and the ability to work independently in a deadline-driven environment.

Key Responsibilities

Calendar & Deadline Management

  • Manage the attorney's calendar, including hearings, depositions, mediations, trials, meetings, travel time, and availability.
  • Calendar court deadlines and litigation milestones immediately upon receipt.
  • Track discovery deadlines and schedule advance reminders at designated intervals.
  • Maintain consistent calendar naming conventions and follow established calendar protocols.
  • Confirm upcoming hearings, depositions, mediations, and other events at least 48 hours in advance.
  • Prepare a weekly Week Ahead report summarizing upcoming deadlines and events.

Case Intake & File Management

  • Create and maintain standardized electronic case files and Dropbox folder structures.
  • Complete case cover sheets and required administrative documentation promptly after assignment.
  • Conduct conflict checks and assist with new client intake.
  • Communicate with clients to obtain necessary case information and documentation.
  • Request wage-loss, disability, and other relevant records.

Document Preparation & E-Filing

  • Draft and prepare pleadings, motions, notices, and other litigation documents using attorney-approved templates and instructions.
  • File documents through applicable state and federal court e-filing systems.
  • Review documents for proper formatting, captions, case information, and Georgia Bar signature blocks before filing.
  • Assemble and organize exhibit packets.
  • Apply Bates numbering and maintain accurate document-production logs.

Discovery & Records Coordination

  • Assist with preparing and managing discovery requests and responses.
  • Prepare clear, plain-language requests to clients for information needed to respond to discovery.
  • Track outstanding discovery and follow up with clients and other parties as needed.
  • Assist with Rule 6.4 discovery deficiency notices and related follow-up procedures.
  • Request, track, and follow up on medical records and certified billing records.

Case Tracking & Reporting

  • Maintain and regularly update the Master Case List.
  • Track and update case-related expenses.
  • Monitor outstanding tasks, records requests, discovery items, and deadlines.
  • Proactively identify upcoming deadlines or missing information and bring them to the attorney's attention.

Qualifications

  • Previous experience as a Legal Assistant, Litigation Assistant, Paralegal, or similar legal support professional.
  • Experience supporting U.S. litigation matters strongly preferred.
  • Familiarity with state and/or federal court e-filing systems.
  • Strong proficiency in Microsoft Word and Excel.
  • Experience with Dropbox or similar cloud-based document management systems.
  • Excellent written and verbal English communication skills.
  • Exceptional organization and attention to detail.
  • Strong deadline-management and follow-up skills.
  • Ability to manage multiple cases and priorities simultaneously.
  • Ability to work independently, follow established procedures, and proactively communicate when something requires attorney attention.
