RECLATAM is hiring on behalf of a growing U.S.-based personal injury law firm seeking a compassionate, detail-oriented, and highly organized Part-Time Personal Injury Case Manager. This role is ideal for someone who enjoys supporting clients through challenging situations while keeping case files organized and moving efficiently toward resolution.

The successful candidate will manage personal injury cases from intake through settlement, serving as a key point of contact for clients, medical providers, insurance adjusters, and attorneys. The position offers exceptional schedule flexibility, allowing you to choose your preferred daily work window, provided your availability remains consistent each day.

Key Responsibilities

Client Intake & Onboarding

  • Conduct initial client interviews and gather accident-related information.
  • Open new case files and ensure accurate documentation.
  • Guide clients through the onboarding process and explain next steps.

Client Communication & Case Support

  • Maintain regular communication with clients throughout treatment and case progression.
  • Provide updates, answer questions, and ensure clients feel supported and informed.
  • Monitor treatment progress and document relevant developments.

Medical Records & Documentation

  • Request, track, and follow up on medical records, billing statements, and diagnostic imaging.
  • Maintain organized case files and ensure all supporting documentation is current.
  • Build and update detailed medical and billing ledgers.

Demand Package Preparation

  • Compile medical records, treatment summaries, billing information, and liability evidence.
  • Draft comprehensive demand packages for attorney review.
  • Ensure all supporting documents are accurate, organized, and complete.

Insurance & Adjuster Coordination

  • Communicate with insurance adjusters regarding claim status and policy information.
  • Confirm policy limits and handle routine correspondence.
  • Document all communications and updates within the case management system.

Lien Resolution

  • Contact health insurance carriers and medical providers to obtain final lien amounts.
  • Negotiate lien reductions when appropriate to maximize client recovery.
  • Track and document lien resolution efforts through settlement.

Qualifications

Required

  • Minimum of 1 year of experience as a Personal Injury Case Manager, Legal Assistant, or similar role within a plaintiff-side personal injury law firm.
  • Strong understanding of the personal injury case lifecycle.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple cases while maintaining accuracy and attention to detail.
  • Proficiency with Microsoft Office and legal case management software.

Preferred

  • Experience handling New York and/or New Jersey personal injury cases.
  • Familiarity with New York No-Fault and/or New Jersey PIP procedures.
  • Experience using platforms such as Filevine, Clio, or similar case management systems.

Schedule & Compensation

  • Employment Type: Part-Time
  • Hours: Approximately 20 hours per week (subject to client needs)
  • Location: Remote
  • Schedule Flexibility: Choose your preferred daily work window (morning, midday, or afternoon). Once established, your schedule should remain consistent to support effective communication with clients, providers, and the legal team.
