About the Role
We are seeking a detail-oriented Medical Records Specialist to join our legal support team. This role is essential to ensuring the accurate and timely retrieval, organization, and management of medical records for personal injury cases. The ideal candidate has strong organizational skills, excellent follow-up abilities, and prior experience working with U.S.-based law firms.
Key Responsibilities

Request medical records from hospitals, clinics, and other healthcare providers.

Follow up consistently with providers to ensure records are received in a timely manner.

Review, organize, and upload medical records into the firms case management system (e.g., Filevine).

Communicate regularly with attorneys and paralegals to provide updates on the status of medical records requests.

Maintain and manage a caseload of medical records requests, ensuring all deadlines are met.

Ensure proper documentation and tracking of all requests and received records.
Qualifications

Minimum 1.5 years of experience requesting and managing medical records, preferably in a personal injury law setting.

Familiarity with third-party medical record retrieval services (e.g., Ciox, Sharecare).

Proficiency using case management software; experience with Filevine is a strong plus.

Strong organizational skills and exceptional attention to detail.

Knowledge of HIPAA compliance and U.S. medical data privacy regulations.
