About the Role
We are a legal staffing company hiring a Virtual Legal Assistant on behalf of our client, a reputable law firm. The ideal candidate must have 1-3 years of experience as a legal assistant or legal secretary and be proficient in Clio, Microsoft Office (Word, Outlook, Excel), and PDF editing software (Adobe or FoxIt preferred).
Key Responsibilities
Level 1 Tasks (Basic Legal Administrative Support)
Clio Management: Add new contacts, link them to specific matters, and manage case-related information.
Document Management: Rename, format, and save e-filed pleadings and documents per firm protocols.
Word Processing: Clean up and format Word documents, make revisions as instructed, and save to Clio.
File Management: Extract and organize documents from zip files, index document production, and maintain records.
Calendaring: Enter case-related due dates, deadlines, and reminders into Clio.
PDF Processing: Rename and save PDFs received from various parties.
Level 1 Tasks with PDF Editor License
Redaction: Review and redact confidential information in legal documents as directed.
Level 2 Tasks (Advanced Legal Administrative Support After Training & System Familiarity)
Correspondence Drafting: Prepare and send letters of representation to insurance companies and other entities.
Records Requests: Assist in obtaining medical and billing records, completing HIPAA forms, and following up with providers.
Required Qualifications
1-3 years of experience as a legal assistant, legal secretary, or similar role.
Proficiency in Clio, Microsoft Word, Outlook, and Excel.
General knowledge of PDF editing software (Adobe/FoxIt or similar).
Strong organizational skills with attention to detail.
Ability to handle sensitive and confidential information with professionalism.
Experience working remotely with minimal supervision.
Preferred Qualifications
Experience in document indexing, redaction, and formatting.
Familiarity with court e-filing systems (not required initially).
Work Schedule & Compensation
5-10 hours per week during the first month for training, with potential for an increase based on workload requirements after that first month.
Flexible schedule but must be available to handle priority tasks promptly.
